The AR Administrator supports firm operations through a balanced focus on accounts receivable and client account setup and maintenance. You’ll manage cash receipts, collections, and aging accounts while partnering closely with all employees and clients across the firm. In addition to core AR responsibilities, the role includes reporting, system support, and process documentation, making it an excellent fit for someone who is detail-oriented, tech-curious, and comfortable being firm, professional, and people-focused in a fast-paced environment.

Requirements

  • Associate degree in accounting or information services or a combination of education and directly related work experience.
  • 3+ years of progressively responsible experience in accounts receivable.
  • You must pass a background check that includes a credit check at any time to remain eligible for this position.

Responsibilities

  • Set up and maintain client accounts and records.
  • Receive, process, and enter cash receipts, including cash, checks, EFT/ACH, and credit cards.
  • Record all transactions on appropriate Cash Logs.
  • Scan checks and process deposit to bank every day.
  • Balance and close month end.
  • Produce reports for shareholder review.
  • Prepare and load accounts receivable journal entries into accounting system.
  • Coordinate and maintain time entry database, including corrections and staff training.
  • Enter back-office expenses (pass through expenses) into client WIP.
  • Assist shareholders and managers with running financial reports as requested.
  • Prepare weekly AR Aging reports to shareholders/managers and manage past due client accounts.
  • Back up billing and other staff within the accounting department.
  • Establish annual goals in line with the overall team and firm.
  • Meet regularly with supervisor.
  • Responsible for reviewing and maintaining individual section in the procedures manual on a quarterly basis.
  • Complete special projects and other duties as assigned by the Accounting Manager/Controller to support the needs of the organization.
