About The Position

The Accounts Payable Specialist is responsible for processing vendor invoices and payments, resolving discrepancies, maintaining vendor records, and supporting month-end close and audit activities. This position reports to the Accounts Payable Manager.

Requirements

  • High School Diploma or GED equivalent required, college level accounting classes or Accounting Degree preferred.
  • A minimum of 3 years’ experience with accounting relevant experience
  • Strong attention to detail and accuracy
  • Knowledge of accounts payable processes and general accounting principles
  • Experience with ERP systems (e.g., SAP, Oracle, PeopleSoft)
  • Experience with AP automation systems (e.g. Medius)
  • Ability to manage priorities and meet deadlines in a high‑volume environment
  • Professional communication and problem‑solving skills

Responsibilities

  • Receive, review, and process vendor invoices accurately and timely.
  • Verify invoices for accuracy, proper authorization, and supporting documentation
  • Perform two‑way and three‑way matching (invoice, PO, receiving) as applicable
  • Maintain accurate and up‑to‑date vendor master records
  • Respond to vendor inquiries regarding invoice status, payment timing, and discrepancies
  • Support vendor onboarding, including tax documentation (e.g., W‑9 collection)
  • Adhere to internal accounting policies, approval limits, and segregation of duties
  • Support compliance with SOX and internal audit requirements
  • Assist with special projects and ad hoc analysis as assigned by management
  • Maintain proper documentation and audit trails for all AP transactions
