About The Position

The Accounts Payable Specialist performs accounts payable tasks according to established guidelines as directed by the Director of Financial Accounting. Duties may include reviewing all invoices for appropriate documentation prior to payment; processing check requests, auditing and processing credit card bills; obtaining proper authorization for payment; responding to all vendor inquiries; preparing accounts payable register and other related reports. Under the Oklahoma Medical Marijuana Use and Patient Protection Act (OMMA), a safety sensitive position is defined as any job that includes tasks or duties that the employer believes could affect the safety and health of the employee performing the task or others. This statute allows Bethany Children’s Health Center to refuse to hire an applicant or discharge an employee in a safety-sensitive position, who tests positive for marijuana even if the applicant or employee holds a valid Oklahoma medical marijuana license.

Requirements

  • High School Diploma or equivalent.
  • 5+ years of experience in accounts payable.
  • Experience with ERP/accounting systems
  • Proficient in Excel

Nice To Haves

  • Experience with electronic invoice processing systems preferred.

Responsibilities

  • Review, verify, and process vendor invoices for accuracy, proper coding, supporting documentation, and appropriate authorization in accordance with internal control policies
  • Manage full-cycle accounts payable process including invoice entry, matching (PO/receipt), payment processing (check, ACH, credit card), and vendor file maintenance
  • Respond to vendor inquiries; resolve discrepancies in a professional and timely manner
  • Manage the processing of third party invoice processes like US Foods, Utilities, Etc
  • Prepare weekly/monthly accounts payable registers, aging reports, and other financial reports as requested
  • Assist with month-end close including accruals, reconciliations, and audit support
  • Ensure compliance with 1099 reporting requirements and maintain accurate vendor tax documentation (W-9s)
  • Support internal and external audit requests related to accounts payable
  • Other Job duties as assigned
