About The Position

The Accounts Payable (AP) Specialist is responsible for accurately processing vendor invoices, managing timely payments, and maintaining detailed financial records. This role supports the Finance and Accounting teams by ensuring all outgoing payments are handled efficiently, in compliance with company policies, and aligned with internal controls.

Requirements

  • Strong understanding of accounts payable and basic accounting principles
  • High attention to detail and accuracy
  • Ability to manage multiple deadlines in a fast-paced environment
  • Strong analytical and problem-solving skills
  • Professional written and verbal communication skills
  • Ability to work independently and collaboratively within a team
  • High School Diploma or equivalent required; Associate’s degree in Accounting, Finance, or Business preferred
  • 2–4 years of accounts payable or accounting experience preferred
  • Proficiency with accounting or ERP systems
  • Strong working knowledge of Microsoft Excel
  • Experience with invoice processing, expense coding, and reconciliations

Nice To Haves

  • Preferred Accounts Payable Certification (e.g., AIPB, IOFM)

Responsibilities

  • Process and verify vendor invoices for accuracy, completeness, and proper authorization
  • Match invoices to purchase orders and receiving documentation
  • Code invoices to appropriate general ledger accounts and cost centers
  • Prepare and process payment runs (checks, ACH, wire transfers)
  • Maintain accurate vendor records and respond to vendor inquiries
  • Reconcile AP subledger to the general ledger
  • Resolve discrepancies, duplicate charges, or billing issues
  • Assist with month-end close activities, including accruals and reporting
  • Support internal and external audits by providing requested documentation
  • Ensure compliance with company policies, accounting standards, and internal controls
