About The Position

We are seeking a detail-driven and highly organized Accounts Payable / Purchasing Clerk to support our fast-paced construction operations. In this role, you will manage project-related expenses, purchasing activities, vendor coordination, and employee credit card processing. This is a critical position that ensures our projects run smoothly, vendors are paid accurately and on time, and field teams have the resources they need to succeed. The ideal candidate thrives in a dynamic environment, maintains a strong sense of urgency, and takes pride in accuracy and process improvement. This role requires flexibility, adaptability, and the ability to support a fast-paced construction environment where priorities can shift rapidly based on project needs.

Responsibilities

  • Enter and upload invoices into system to correct job and/or cost code
  • Process invoices through AI-assisted systems and manually review for errors
  • Issue vendor payments through multiple systems (Struxtion, credit cards, checks)
  • Track and resolve invoice discrepancies, credits, and billing issues
  • Review statements and aging reports to find discrepancies, send payment information to vendors as needed
  • Create Purchase Orders (POs), Work Orders (WOs), and Purchase Authorizations (PAs) as needed
  • Send job store safety orders to our warehouse, create shipping labels, enter tracking in system
  • Research and set up new vendors, including vetting and compliance checks
  • Coordinate equipment rentals (generators, trailers, fencing, dumpsters, temp labor)
  • Handle mobilization needs for new projects (signage, utilities, office trailers, portable toilets)
  • Manage FedEx shipping for project materials and samples
  • Help with coordinating office needs across multiple locations
  • Handle special projects as assigned
  • Provide excellent internal customer service to field and office staff
