About The Position

The Accounting Specialist is responsible for performing accounting functions for the firm, including maintaining financial records, supporting the month-end and year-end close processes, ensuring compliance with applicable regulations, and preparing accurate financial reports. This role requires strong attention to detail, organizational skills, and the ability to work effectively in a fast-paced environment.

Requirements

  • Ability to prepare routine reports, business correspondence, and accounting-related documentation with accuracy and professionalism.
  • Strong mathematical and analytical skills, including the ability to calculate percentages, discounts, commissions, interest, and perform basic financial analysis.
  • Ability to manage multiple priorities, meet deadlines, and maintain exceptional attention to detail in a fast-paced environment.
  • Proven ability to process a high volume of accounting and bookkeeping transactions accurately and efficiently while maintaining quality standards.
  • Strong organizational, time management, and problem-solving skills.
  • Demonstrates reliability, accountability, punctuality, and a strong customer-service mindset.
  • Ability to work independently and collaboratively within a team environment.
  • Advanced computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).
  • Experience using accounting software such as QuickBooks.
  • BBA in Accounting required.
  • Minimum Three (3) to Five (5) years of experience in accounting/bookkeeping in general accounting procedures.

Nice To Haves

  • Experience with full accounting cycle preferred including Accounts Receivable, Accounts Payable, Payroll and taxes, Collections, Business Taxes and Financial Statements.

Responsibilities

  • Maintain the firm’s general ledger, ensure accuracy and completeness of financial data.
  • Prepare and post journal entries with appropriate supporting documentation.
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Generate internal reports, including Balance Sheet, Income Statement, and support schedules.
  • Perform month-end and year-end closing processes.
  • Reconcile all balance sheet accounts, including cash, prepaid expenses, accruals, and intercompany accounts.
  • Analyze variances and provide explanations to management.
  • Perform bank reconciliations and ensure accurate cash balances.
  • Monitor cash flow and assist in cash management reporting.
  • Process vendor payments and ensure proper approvals.
  • Monitor accounts payable and accounts receivable activities and ensure timely processing and collection.
  • Maintain accurate aging reports.
  • Record payroll journal entries and reconcile payroll-related accounts.
  • Support payroll processing and ensure proper recording of payroll transactions.
  • Prepare and file sales and use tax returns.
  • Prepare payroll tax deposits and SINOT.
  • Prepare annual informative returns (e.g., 480 forms).
  • Assist in compliance with applicable federal, state, and local regulations.
  • Ensure adherence to internal controls, policies, and procedures.
  • Maintain organized and audit-ready documentation.
  • Assist in internal and external audits by providing required schedules and support.
  • Identify opportunities to improve accounting processes and efficiencies.
  • Maintain petty cash and supporting documentation.
  • Perform other duties as assigned.
