About The Position

Work under general supervision of the finance manager to perform data entry and maintain specialized computer databases, spreadsheets, and similar reports to obtain, verify, update, and report accounts receivable information within the Shelby County Division of Corrections.

Requirements

  • Four (4) years’ experience in clerical accounting or finance capacity AND graduated from an accredited High School or possess a GED; OR
  • Bachelor’s degree in business administration, accounting or closely related field; OR
  • Two years (2) experience in a clerical accounting or finance capacity AND graduated from an accredited college or university with an associate’s degree A.A.S. in Accountancy/Computer Concentration
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.
  • Knowledge of accounting theories and practice of auditing procedures.
  • Ability to deal tactfully with the public and co-workers.
  • Ability to exercise good judgement in evaluating situations and making decisions.
  • Ability to effectively communicate both orally and in writing with the public, other departments in Shelby County Government and co-workers.
  • Ability to express ideas clearly and concisely.
  • Ability to perform data entry and maintain specialized databases and spreadsheets.
  • Ability to use Microsoft Excel, Access and Word and ability to learn the County’s computerized financial systems.
  • Must be able to pass a federal background check.
  • Must be able to pass a drug test.
  • Must be able to work in a prison environment.
  • Participate in annual in-service and other training programs as required
  • Must possess valid identification.

Responsibilities

  • Prepare and submit reconciliation reports and invoice vouchers to the grantor for monthly housing bill.
  • Review the general ledger and accounts receivable invoices in the system to verify that payments have been received and accurately recorded.
  • Prepare board bills and print judgment orders from OnBase or Justice Portfolio.
  • Reconcile residents’ days in custody and sentence terms with records from the Tennessee Department of Correction.
  • Prepare monthly misdemeanor reports for Criminal Court and the General Sessions Criminal Division.
  • Collect and receipts payments.
  • Research delinquent accounts for collection purposes as related to federal housing or transportation invoices.
  • Work with other staff in modifying and comparing the reconciliation reports generated from the system concerning primary status of federal residents in the system.
  • Prepare and bill the invoice to the grantors, monitor customer account details for non-payments, delayed payments, and other irregularities.
  • Maintains accounting records involving technical data.
  • Work with other office staff, in dealing with financial accounts, as required when directed to do so.
  • Performs other accounting related activities as directed.
  • Perform other related duties as required or directed.
