About The Position

The Project Controls Specialist provides essential support for capital project procurement, accounting, and close-out for the Medical Center Space and Facility Planning team. This role encompasses a broad range of project activities, supporting the entire project lifecycle for the department. The Specialist collaborates with various Medical Center, Administration & Planning, and OSU staff to ensure all processing is timely, efficient, accurate, and compliant with established regulations. This position applies accounting concepts, principles, and technical capabilities to support the procurement and basic accounting functions, assisting in the monitoring of project scope, schedule, cost, capital project budgeting, tracking, planning, and quality assurance. Ensures the data quality and integrity between Workday and the Project Management System (Trimble Unity Construct). The Project Controls Specialist is responsible for managing and maintaining project information, including financial and procurement transactions, within the department's Project Management Software system. Key responsibilities include reviewing, analyzing, and processing expenditures. This role completes tasks to support monthly reconciliation between the Project Management Software System and Workday, ensuring data accuracy and consistency. Additionally, the Specialist assists the department in project close-out processes, verifying that all required tasks are completed in the Project Management System and that necessary project information is transitioned to the Facilities Information and Technology Services (FITS) department for updates to the Space Information and Management System (SIMS). The Specialist also assists with tracking capital investments and modeling cash flow for projects from the planning stages through construction and close-out.

Requirements

  • Bachelor's degree in business or accounting or equivalent combination of years and experience.
  • Minimum two (2) or more years of work experience in accounting or procurement required.
  • Strong computer skills using Microsoft Office Suite (Word, Excel, PowerPoint, Teams, project management software such as eBuilder a.k.a. Trimble Unity Construct).
  • Excellent interpersonal skills and a demonstrated ability to interact effectively with all levels of staff within a large organization.
  • Ability to interface effectively with multiple levels of management and staff.
  • Demonstrated oral and written communication skills and the ability to compose correspondence and reports.
  • Excellent communicator, critical thinker, motivated with a positive attitude, and able to independently work on and balance priorities for multiple initiatives.
  • Meet mandatory education and health surveillance requirements.
  • Demonstrate competence in managerial, technical, interpersonal, and cognitive skills required to meet essential job functions.
  • Maintain knowledge of all software applications.
  • Demonstrated commitment to ongoing education is expected.
