About The Position

This role is responsible for maintaining LAVIOR's QuickBooks Online records, reconciling various financial accounts, and ensuring accurate revenue and inventory reporting. The position involves preparing monthly financial statements, providing cash-flow management support to the CEO, and handling Florida sales-tax returns. Additionally, the role includes quarterly tax-planning reviews and supporting the initial transition and historical remediation of accounting processes. The target completion for the monthly close and financial package is the 15th of the following month, provided timely records and responses are received.

Requirements

  • Proficiency in QuickBooks Online.
  • Experience with bank account and credit card reconciliation.
  • Understanding of revenue recognition and cost-of-goods-sold principles.
  • Ability to prepare monthly financial statements (P&L, Balance Sheet, Cash Flow).
  • Experience with cash-flow management and forecasting.
  • Knowledge of sales-tax preparation and filing, particularly for Florida.
  • Experience with tax planning and coordination for corporate and individual returns.
  • Ability to investigate accounting questions and provide clear documentation.
  • Experience with e-commerce platforms like Shopify, Amazon, and Walmart is beneficial for revenue review.
  • Familiarity with inventory management processes.
  • Experience supporting CEO or senior management with financial insights.

Responsibilities

  • Maintain LAVIOR’s QuickBooks Online records.
  • Reconcile business bank accounts, credit cards, payment processors, payroll activity, accounts receivable, accounts payable, and material balance-sheet accounts.
  • Review revenue activity from Shopify, Amazon, Walmart, distributors, and direct sales to support accurate revenue reporting.
  • Review inventory and cost-of-goods-sold activity as LAVIOR implements and maintains its inventory process.
  • Record and review necessary month-end adjustments and supporting schedules.
  • Investigate material accounting questions and provide a clear list of items requiring LAVIOR’s clarification or documentation.
  • Produce monthly financial statements, including a Profit and Loss Statement, Balance Sheet, and Cash Flow Statement.
  • Provide management visibility into cash flow, working-capital needs, accounts receivable, accounts payable, inventory requirements, and operating performance.
  • Identify significant exceptions or matters requiring management attention.
  • Complete a high-level controller review before the monthly management discussion.
  • Hold one monthly one-hour management call to review financial results, cash flow, operational questions, and actions for the next period.
  • Prepare and file LAVIOR’s Florida sales-tax returns based on the information available in QuickBooks and the applicable sales platforms.
  • Review marketplace-facilitator activity and other available sales-tax information to help identify reporting issues.
  • Conduct quarterly tax-planning reviews using current financial information.
  • Provide year-end tax-planning recommendations before filing season.
  • Coordinate accounting information needed for LAVIOR’s corporate return and the related individual tax-planning discussion.
  • During the initial transition, review the current accounting process and available supporting records to identify prior-period items that require additional investigation.
