Requirements

  • At least 5 years of small business accounting experience.
  • Experience with accrual adjusting entries.
  • Experience with fixed assets and debt schedules.
  • Experience preparing and analyzing financial statements.
  • Strong computer skills, including spreadsheets (especially Google Sheets) and accounting software.
  • Experience owning the close process for multiple clients simultaneously.
  • Clear communication with clients and keeping agreements.
  • Owning problems and having a plan when something goes wrong.
  • Understanding that the scope of the engagement dictates the level of detail and service provided.
  • Strong review skills, caring about accuracy and completeness within scope.

Nice To Haves

  • Construction experience.
  • Direct accounting experience working within the real estate or construction industry.
  • Job costing experience with the ability to track costs by project, phase, or cost code and identify variances early.
  • Strong understanding of how to handle WIP.
  • Experience with fixed asset acquisition and disposal.
  • Experience with construction-specific software and integrating those platforms with accounting software.
  • Real estate accounting experience alongside construction — rental income, property depreciation, entity structuring.
  • Managing subcontractors, including insurance compliance, vendor documentation, and annual 1099 preparation and reporting.
  • Experience with retainage — tracking amounts withheld, ensuring they're reflected correctly in AR and AP, and reconciling them at project close.
  • Working knowledge of contract revenue recognition, including percentage of completion and completed contract methods, and when each applies.
  • Sales tax experience.
  • Income tax coordination experience.
  • 1099 processing experience (collecting W-9s, knowing when to start outreach, filing 1099s, and building a simple, repeatable annual process).

Responsibilities

  • Oversee the monthly close from beginning to end for a portfolio of growing small business clients.
  • Act as the trusted point of contact for clients.
  • Create and document workflows for Accounting Specialists (bookkeepers).
  • Train Accounting Specialists on processes.
  • Ensure bookkeeping work is completed efficiently and on time.
  • Complete work that cannot be delegated.
  • Review bookkeeping, reconciliations, and financial statements for accuracy and completeness.
  • Deliver client-ready financials.
  • Answer client questions.
  • Understand client businesses and goals.
  • Create a consistently great client experience through clear communication, strong follow-through, and reliable delivery.
  • Keep work on track, within scope, and within time budgets.
  • Design the delegation framework.
  • Build workflows bookkeepers follow, train them on the process, and hold the standard.
  • Track time and manage to time budgets.
  • Reduce rework systematically by fixing processes, not just entries, to improve efficiency over time.
