About The Position

The Accounts Clerk is responsible for the accurate and timely processing, recording, billing, reconciliation, and collection of all accounts receivable owed to the hotel. This position works closely with the Finance, Front Office, Sales, and other hotel departments to ensure accurate billing, timely payment application, proper account reconciliation, and excellent service to guests and business partners. The Accounts Clerk will also support the Income Audit function by assisting with the reconciliation and balancing of daily hotel revenues and ensuring discrepancies are identified and addressed promptly.

Requirements

  • Previous Accounts Receivable, Income Audit, accounting, or hotel finance experience preferred.
  • Strong attention to detail and a high level of accuracy.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Ability to research discrepancies, identify issues, and follow through to resolution.
  • Strong written and verbal communication skills.
  • Professional and customer-service-oriented approach when communicating with guests, clients, and internal departments.
  • Comfortable working with accounting systems, hotel management systems, and Microsoft Office.
  • Ability to handle confidential financial information with discretion.
  • Ability to work independently while also being an effective member of the Finance team.
  • Ability to meet deadlines and work effectively in a fast-paced hotel environment

Nice To Haves

  • Hospitality or hotel accounting experience is a plus.
  • Strong Excel skills preferred.

Responsibilities

  • Monitor group master accounts from check-in through checkout, ensuring billing is accurate and complete.
  • Prepare and post city ledger adjustments as needed.
  • Prepare and mail invoices with all required supporting documentation on the same day an account is transferred to Accounts Receivable.
  • Apply payments accurately to the appropriate group master and city ledger accounts.
  • Research and respond to credit card chargebacks within the required timeframes established by credit card companies and process adjustments when necessary.
  • Research and respond to individual travel agent commission inquiries in a timely and professional manner.
  • Prepare adjustments to reflect receipt of payments from credit card companies upon notification from the bank.
  • Prepare deposit lists for cash and check receipts.
  • Prepare weekly credit approval reports through the hotel's account management software system.
  • Enter credit approvals into the account management software system and maintain accurate records.
  • Process credit card charges for ancillary billings, including electrical, delivery, parking, and other applicable hotel charges.
  • Clear and reconcile all wash-through accounts.
  • Respond to guest and client billing inquiries by phone and email and resolve discrepancies promptly and professionally.
  • Monitor outstanding accounts receivable balances and follow up on past-due accounts.
  • Collect outstanding payments through written correspondence, telephone follow-up, and other appropriate collection efforts.
  • Refer delinquent accounts to a collection agency when necessary and authorized.
  • Monitor Accounts Receivable accounts on a bi-weekly basis and identify accounts requiring additional follow-up.
  • Assist with daily Income Audit functions, including balancing and reconciling daily hotel revenues.
  • Review daily revenue reports for accuracy and investigate discrepancies or unusual variances.
  • Assist in reconciling revenue activity between hotel systems, payment records, and supporting documentation.
  • Maintain organized and accurate Accounts Receivable and Income Audit records.
  • Work collaboratively with other hotel departments to research and resolve billing, payment, and revenue discrepancies.
  • Perform other accounting and administrative duties as assigned.
