About The Position

The Accounting Clerk / Administrative Assistant is responsible for supporting day-to-day accounting operations while also providing administrative support to the General Manager and leadership team. This role assists with accounts payable and receivable, financial reporting processes, and general office coordination to ensure smooth and efficient operations. This is an entry-level position ideal for someone looking to grow within accounting and finance while gaining exposure to venue operations in a fast-paced, event-driven environment.

Requirements

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
  • 1+ year of experience in accounting, bookkeeping, or administrative support (accounts payable/receivable experience preferred)
  • Equivalent combination of education and experience will be considered
  • Basic understanding of accounting principles and financial processes
  • Proficiency in Microsoft Office, particularly Excel and Word
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and meet deadlines
  • Strong communication skills, both written and verbal
  • Ability to follow instructions and work both independently and as part of a team

Nice To Haves

  • Experience with ERP or accounting systems preferred

Responsibilities

  • Audit receipts and disbursements to ensure accuracy for public events and assist in resolving credit card chargebacks
  • Complete assigned portions of the monthly close process within established deadlines
  • Assist in the preparation of financial statements and monthly reconciliations, including agency fund cash accounts
  • Support preparation of event settlements and public show statements
  • Input vendor invoices into the financial system, ensuring proper approvals are obtained
  • Assist in monitoring accounts payable and receivable to ensure timely processing and account accuracy
  • Assist in preparation of audit schedules and support internal/external audit requests
  • Maintain financial records and perform general bookkeeping and cashiering duties
  • Provide administrative support to the General Manager, including calendar management and scheduling
  • Monitor and manage the main phone line, directing calls to appropriate team members
  • Maintain organized filing systems for both financial and administrative documentation
  • Communicate regularly with the Director of Finance regarding workload, priorities, and project status
  • Assist with general office coordination and day-to-day administrative needs
  • Perform other duties as assigned
