About The Position

The Accounting Clerk I provides administrative and accounting support to ensure timely processing of invoices, receipts, and deposits. This role assists with maintaining accurate fiscal records, supporting audits, and ensuring compliance with nonprofit financial procedures and internal controls.

Requirements

  • High school diploma required; Business or Accounting degree preferred.
  • Minimum of 2 years of experience in accounting or accounts payable, preferably in a nonprofit setting.
  • Ability to analyze, organize and prioritize tasks. Ability to work under pressure.
  • Excellent communication and people skills, ability to edit and proofread.
  • Proficient in Excel and Word.
  • Must be able and willing to use their own, properly insured, car for work (mileage reimbursement).
  • Must be able to work with and represent a culturally and ethnically diverse community.
  • Must be reliable and extremely trustworthy.
  • Must be proficient in Microsoft Office Suite or related programs.
  • Must be able to learn other accounting software systems.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential and meticulous records.

Nice To Haves

  • Experience in social service agency a plus.

Responsibilities

  • Upload invoices, scan and save supporting documents into Bill.com for approval and payment processing.
  • Prepare daily cash/check deposit.
  • Track expense receipts (gas, Home Depot, AMEX) status, follow up on outstanding receipts.
  • Assist with petty cash reimbursements and related recordkeeping.
  • Receive, review, verify vendor invoices, check requests and employee expense reports as assigned, for accuracy, coding, and appropriate approval.
  • Ensure invoices, check requests and employee reimbursements are approved, valid and processed accurately and timely.
  • Prepare weekly check distribution log/sign-off sheet for the in-house checks.
  • Process business cards and office supplies orders for program and admin departments.
  • Resolve questions related to check requests, Office Depot, business-cards, supplies, payment status.
  • Organize and file fiscal and position related documents and provide fiscal supporting documents when requested.
  • Support team members with agency and program audits as needed.
  • File, scan, and organize AP and accounting documents; assist with year-end archiving.
  • Maintain various fiscal support records as assigned.
  • Maintain updated procedures for all tasks in job description.
  • Perform other related duties as assigned.
