About The Position

The Accounting Assistant plays a crucial role in maintaining the financial health of the Club by supporting the accounting department with daily operations and financial recordkeeping. This position involves processing invoices/payments, maintaining accurate financial records, and assisting with financial reporting and purchasing. The ideal candidate will have strong attention to detail, excellent organizational skills, and a commitment to ensuring accuracy in all financial matters.

Requirements

  • General understanding of accounting practices and principles
  • Working knowledge of the Microsoft Office (e.g., Word, Excel, Outlook)
  • Must possess proficient ability to communicate in English in oral and written format
  • Ability to apply discretion and trust with confidential material
  • Ability to maintain a high level of accuracy in preparing and entering financial data
  • Ability to effectively apply analytical and problem-solving skills
  • Excellent time managing skills with the ability to multi-task, prioritize, and meet deadlines
  • High attention to details, ability to take directions, self-check and follow up on work
  • Associate degree in accounting, finance, or business-related field preferred
  • Equivalent combination of education and/or experience will be considered
  • Two or more years Accounts Payable and/or Inventory Management

Responsibilities

  • Verifying transactions comply with financial policies and procedures established by the Club
  • Receiving, verifying coding, obtaining signatures and entering Accounts Payable (A/P) invoices, employee reimbursements, deposits etc. into accounting software
  • Assist in managing weekly disbursements in accordance with cash flow
  • Processing checks for vendors weekly for mailing, and manual checks as and when required
  • Facilitate ordering of small equipment and supplies from online sources which require payment by credit card
  • Upholding professionalism by providing courteous customer service to members, employees, and vendors
  • Performing other duties as assigned
  • Troubleshooting quantity discrepancies with Pro Shop staff
  • Ensuring compliance with proper procedures through regular review of pro shop merchandise inventory receipts submitted with invoices for payment
  • Assist in the reconciliation of merchandise inventory quantities with Pro Shop staff.
  • Performing other merchandise inventory work-related duties as assigned
