About The Position

We are seeking a reliable and detail-oriented Accounting Assistant to support the bookkeeping department with daily financial and administrative operations. This role will assist with invoicing and accounts receivable (AR), help maintain accurate financial records, and support general office and accounting functions in a high-volume, multi-location environment. The successful candidate works well with others, demonstrates strong attention to detail, and contributes to a positive team culture.

Requirements

  • 1–3 years of accounting, bookkeeping, or administrative finance experience preferred.
  • Basic understanding of accounting and accounts receivable principles.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Works well in a collaborative team environment.
  • Self-starter with a positive, can-do attitude.
  • Maintains a high level of confidentiality.

Nice To Haves

  • Experience with accounting software (QuickBooks, Sage or similar) preferred.
  • Associate’s degree in accounting, business, or related field preferred.
  • Equivalent work experience may be considered in place of formal education.

Responsibilities

  • Assist with invoicing and accounts receivable (AR), including preparing, sending, and tracking invoices.
  • Monitor incoming payments, post cash sales, and assist with payment application and reconciliation.
  • Record deposits and payment batches accurately and in a timely manner.
  • Follow up on outstanding balances and assist with customer account inquiries.
  • Assist with AR tracking and customer account questions as needed.
  • Perform day-to-day financial transactions including data entry and record maintenance.
  • Support reconciliation of accounts and ensure accuracy of financial records.
  • Assist with processing purchase orders, invoices, and expense documentation.
  • Support invoice entry and related documentation as needed.
  • Help maintain organized filing systems for financial records (digital and physical).
  • Assist with answering multi-line phones and general administrative support.
  • Run local errands as needed to support office and operational needs.
  • Communicate professionally with customers, vendors, and internal team members.
  • Assist with special projects and additional accounting or administrative tasks as assigned.
