About The Position

Transport Dynamics, a division of RBC Bearings, Inc., located in Santa Ana, CA, is the leading manufacturer of self-lubricated bearings for space, aerospace, and industrial applications, is currently looking for an Account Specialist to join our team! This role involves ensuring accurate customer account setup and maintenance, resolving complex product or service issues, and collaborating with various internal teams to meet customer requirements. The Account Specialist will also support accounting with invoicing and payment processing, analyze customer feedback for improvements, and prepare reports on customer activity. Building strong customer relationships through proactive communication and managing escalated concerns are key aspects of this position. The role requires utilizing systems for efficient interaction management and working cross-functionally to enhance service delivery and product quality. Monitoring customer satisfaction and contributing to continuous improvement initiatives are also important functions.

Requirements

• High school diploma or General Education Degree (GED) required.
• Minimum of 1-year related experience, and/or training, or equivalent combination of education and experience.
• Strong active listening skills with the ability to accurately assess customer needs and identify underlying issues.
• High level of patience and professionalism when managing complex, high-pressure, or escalated customer situations.
• In-depth product and service knowledge, with the ability to quickly learn and communicate technical information across multiple divisions.
• Excellent written and verbal communication skills, with the ability to interact effectively with customers, buyers, product specialists, engineering, quality, and accounting teams.
• Strong problem-solving and conflict resolution skills, including the ability to analyze issues, determine root causes, and implement effective solutions.
• Proficiency with business systems and technology, including CRM platforms, ERP systems, and tools required to manage high-volume transactions and WAWF processes.
• Attention to detail with the ability to maintain accurate records, validate data, and ensure compliance with company and customer requirements.
• Ability to collaborate cross-functionally and build strong working relationships with internal departments to drive issue resolution and process improvements.
• Analytical skills to interpret customer data, identify trends, and support reporting and decision-making.
• Time management and organizational skills to effectively balance multiple priorities in a fast-paced environment.
• Adaptability and flexibility to respond to changing customer needs, business demands, and process updates.

• Must be either a U.S. citizen, lawful permanent resident [“green card” holders] or have refugee or asylee status due to ITAR and EAR compliance.

Responsibilities

• Ensure accurate setup and maintenance of customer accounts, including validation of critical account data.
• Resolve complex product or service issues by identifying root causes, coordinating solutions, and ensuring full resolution.
• Collaborate with buyers, product specialists, engineering, quality, and accounting teams to address customer requirements, resolve issues, and ensure alignment across functions.
• Partner with accounting to support accurate invoices, payment processing, and resolution of discrepancies, including WAWF coordination.
• Analyze customer needs, feedback, and trends to recommend product, service, or process improvements to management.
• Prepare and interpret reports on customer activity, performance metrics, and satisfaction levels.
• Build and maintain strong, trust-based relationships with customers through proactive and effective communication.
• Manage escalated concerns by delivering timely, solution-oriented outcomes and ensuring proper follow-through.
• Maintain accurate documentation of customer interactions and account activity for reporting, compliance, and business insights.
• Utilize systems and tools to efficiently manage high-volume interactions and support operational effectiveness.
• Work cross-functionally with internal departments to improve service delivery, product quality, and overall customer experience.
• Monitor customer satisfaction results and contribute to continuous improvement initiatives.
