About The Position

As an Account Coordinator, you play a critical role in bringing exceptional client experiences to life. You serve as the operational backbone of the Accounts team, ensuring orders move seamlessly from concept to delivery while maintaining accuracy, urgency, and attention to detail every step of the way. Working closely with Account Managers and Executives, suppliers, decorators, and internal teams, you'll coordinate complex projects, manage order execution, solve problems proactively, and help create remarkable gifting experiences for our clients. Success in this role requires organization, adaptability, strong communication, and a genuine commitment to supporting both your teammates and our clients.

Requirements

  • 1–2 years of experience in a customer service, administrative, account support, project coordination, or related role.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong verbal and written communication skills, with the ability to interact professionally with clients, vendors, and internal teams.
  • Proven customer service skills with a commitment to responsiveness, follow-through, and problem resolution.
  • Strong attention to detail and accuracy when managing orders, proofs, tracking information, invoices, and project updates.
  • Excellent time management skills and the ability to prioritize effectively while balancing competing demands.
  • Resourceful problem-solver who can identify issues, think critically, and take initiative to drive solutions.
  • Ability to build positive working relationships across teams and with external partners.
  • Comfortable collaborating with internal departments, suppliers, decorators, and clients to ensure successful project execution.

  • Experience supporting multiple projects, clients, or stakeholders simultaneously is preferred.

  • Familiarity with promotional products, branded merchandise, e-commerce, or corporate gifting.
  • Experience working with HubSpot, Monday.com, Shopify, or similar business systems.

Responsibilities

  • Place purchase orders (POs) and manage orders on the AM/AE Monday Board.
  • Coordinate order execution from purchase order placement through final delivery.
  • Update Monday Boards with proof, tracking, and project information to ensure accuracy and visibility.
  • Maintain accurate project documentation and proactively communicate status updates to stakeholders.
  • Partner closely with Account Managers and Account Executives to ensure client projects stay on track and deadlines are met.
  • Identify potential project risks and escalate concerns before they impact timelines or client expectations.
  • Build and maintain strong relationships with suppliers, decorators, and vendor partners.
  • Follow up persistently with vendors and decorators to obtain proofs, production updates, and tracking information.
  • Coordinate supplier communications to ensure orders remain on schedule and information is communicated accurately.
  • Monitor vendor performance and proactively address delays or concerns.
  • Serve as a trusted point of contact for client questions related to order status, proofs, tracking, and logistics.
  • Support Account Managers and Executives in delivering an exceptional client experience through proactive communication and follow-through.
  • Answer phone inquiries promptly and professionally.
  • Help strengthen long-term client relationships through responsiveness, accuracy, and attention to detail.
  • Work closely with Fulfillment, Operations, Creative, and Finance teams to ensure the successful execution of client orders.
  • Facilitate communication between internal teams and external partners to remove roadblocks and resolve issues.
  • Support process improvement initiatives and documentation efforts that enhance team efficiency and scalability.
  • Contribute to a collaborative, team-first environment that prioritizes client success.
  • Proactively identify and resolve order issues, including production delays, shipping challenges, and inventory concerns.
  • Manage invoice processing and update supplier payment documentation as needed.
  • Escalate issues appropriately while maintaining a solutions-oriented mindset.
  • Take ownership of challenges and work cross-functionally to drive timely resolution.
