About The Position

MJH Life Sciences is seeking an Account Coordinator to join their Agency Services team. This role is dual-focused, combining faculty relationship management with day-to-day account coordination. The Account Coordinator will serve as the primary contact for an assigned roster of faculty members across therapeutic areas and will also support seamless program delivery for clients. This position is ideal for someone who is highly organized, relationship-driven, and thrives in a fast-moving agency environment, utilizing AI tools to manage complexity, improve communication efficiency, and deliver a high standard of service.

Requirements

  • Proven experience in faculty management, account management, or client services, preferably within a healthcare, medical education, or agency environment.
  • An AI-native mindset. Actively use tools such as ChatGPT, Claude, or productivity and CRM platforms to improve how you manage relationships, draft communications, and coordinate across multiple workstreams — and can speak to the impact.
  • Excellent communication and interpersonal skills, with the ability to manage relationships confidently across multiple stakeholder levels — from faculty and clients to internal teams and leadership.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple accounts and concurrent deadlines without losing quality or momentum.
  • Strategic and solutions-oriented thinker who anticipates problems and drives resolution before they escalate.
  • Comfortable working independently and collaboratively in a fast-paced, deadline-driven environment.
  • Bachelor's degree in communications, life sciences, marketing, healthcare administration, or a related field.

Nice To Haves

  • Proficiency in project management tools and CRM platforms preferred.
  • Familiarity with oncology or other specialty therapeutic areas is a plus.
  • Willingness to travel up to 10 to 15 percent of the time for conferences and client meetings.

Responsibilities

  • Act as the primary point of contact for assigned faculty, proactively building collaborative relationships, providing responsive support, and anticipating and resolving challenges before they affect program delivery.
  • Use AI tools to improve the efficiency of faculty communications, contract drafting, calendar management, status reporting, and account documentation.
  • Strategically manage faculty calendars, aligning schedules with program needs and organizational priorities across therapeutic areas.
  • Maintain accurate and current faculty profiles, including academic affiliations, communication preferences, and travel requirements, ensuring personalized and professional support at every touchpoint.
  • Draft, review, and negotiate faculty contracts, clearly outlining terms, deliverables, and expectations — and oversee the payment process to ensure timely and accurate compensation.
  • Conduct ongoing research to identify and vet potential faculty members, evaluating expertise, speaking strengths, and fit for specific programs.
  • Collaborate with internal teams and leadership to assess faculty performance and contributions on a regular basis.
  • Serve as the day-to-day account contact for assigned clients, maintaining strong relationships and ensuring program goals are met on time and within scope.
  • Coordinate logistics and communications across internal departments — including medical, creative, and operations — to support seamless program execution.
  • Track project timelines, flag risks proactively, and provide clear and consistent status updates to internal teams and client stakeholders.
  • Develop and maintain account documentation including meeting notes, status reports, and project plans.
  • Represent MJH Life Sciences at key medical conferences and client-facing events, strengthening relationships with faculty and stakeholders throughout the year.
