The Windows Account Coordinator is an on-site position that collaborates with the Sales Specialist to manage customer needs from estimation to invoicing.

Responsibilities

  • Utilize estimating software and tools to execute precise plan/takeoff requests.
  • Effectively submit, track, review, and compile bid packets for both new and existing customers.
  • Establish and maintain strategic alliances with vendors to assess product availability, lead times, and pricing dynamics.
  • Facilitate the timely generation of sales and special orders, ensuring responsiveness to customer needs.
  • Strategically identify and execute tasks to optimize Sales Specialist capacity, enhancing overall operational efficiency.
  • Collaborate with the department manager to proactively address material shortages and scheduling discrepancies.
  • Uphold meticulous organization of paperwork, files, and email correspondence.
  • Maintain an updated "To Do List" to ensure tasks are systematically addressed without delays.
  • Apply payments in accordance with established procedures, ensuring financial accuracy.
  • Keep customer accounts current with accurate job information and authorized purchasers, including their contact details.
  • Maintain contract accuracy.
  • Communicate seamlessly with salesmen, customers, and suppliers regarding orders and quotes.
  • Follow through promptly with customer and salesman requests, providing timely and accurate information.
  • Relay supplier-related delays and issues to both salesmen and customers.
  • Continuously communicate with the scheduling team to clearly prioritize customer needs based on the availability of their install/service schedule.
  • Timely notification with the scheduling team of any back-ordered products or issues with upcoming jobs that could affect the project running as smoothly as possible.
  • Clearly input customer requests into quotes with accurate product descriptions.
  • Ensure product sign-off before accepting quotes.
  • Proactively communicate lead times, delays, and issues to both salesmen and customers, anticipating inquiries.
  • Obtain prices from suppliers when needed, demonstrating a commitment to customer satisfaction.
