This role provides exceptional customer service to consumers, establishes a positive first impression of Northwestern Medicine, and exceeds consumer requests. The Access Team Lead interacts with various hospital departments and physicians offices to effectively schedule and direct patients through the NMHC systems in a patient/customer friendly manner. They also perform medical necessity checks, facilitate pre-authorization of diagnostic exams, inform patients of financial account issues, and complete out-of-pocket estimations. Additionally, this role involves providing training and education, managing work schedules efficiently, and participating in Quality Assurance reviews. Communication and collaboration are key, including communicating information to patients regarding referrals and consultations, collecting authorization numbers, and fostering a professional and constructive environment for communication across units/departments. The role also involves utilizing multiple online systems for order retrieval, verifying insurance eligibility and benefit levels, and completing accurate handoff instructions and notes in Epic. Efficiency, process improvement, and business growth are also important, including proactively preventing patient visit issues, understanding data sets for registration, monitoring quality metrics, analyzing account activity, and suggesting improvements to enhance customer service and operational efficiency. Leadership responsibilities include assisting with staff training and development, ensuring compliance with policies, coordinating troubleshooting, serving as a first line of assistance, investigating and resolving problems, coordinating staffing, monitoring queues, ensuring technology is working properly, coordinating maintenance and repair, identifying and communicating key issues and trends, assessing staff development needs, developing and presenting training programs, and assuming delegated responsibilities in the absence of the Operations Coordinator. The role also assists with interviewing, hiring, training, progressive discipline, dismissals, performance appraisals, and employee relations, as well as developing and implementing policies and procedures. Finally, the role ensures staff have access to necessary resources and works on enforcing productivity and quality standards through audits and monitoring agent performance.
