About The Position

The Access Coordinator is responsible for warmly welcoming and greeting all patients and visitors to the clinic. This role involves registering new patients and updating existing patient demographics by collecting detailed personal and financial information using an electronic medical record system. The Access Coordinator also schedules medical, dental, and behavioral health appointments to optimize provider time and patient satisfaction, verifies patient insurance by running preauthorizations, and facilitates patient flow by notifying providers of patient arrivals. Additional duties include assisting patients with registration paperwork, making appointments, maintaining accurate schedules, efficiently working within the electronic medical record system, filing and retrieving charts, collecting payments, performing daily reconciliation and balancing, making bank deposits, managing incoming and outgoing faxes, scanning and attaching patient documents, and maintaining a clean and organized reception and waiting area. The role also requires responding courteously to inquiries, participating in meetings and events, and strictly following HIPAA guidelines to protect patient confidentiality.

Responsibilities

  • Warmly welcomes and greets all patients and visitors to the clinic.

  • Schedules medical, dental, and behavioral health provider appointments in accordance with department and provider templates in effort to optimize provider time and patient satisfaction.
  • Verifies patient insurance by running preauthorization’s.
  • Facilitates patient flow by notifying the provider of patients' arrival using electronic medical record system.
  • Assists patients with registration paperwork as needed.
  • Makes appointments and keeps accurate appointment schedules.
  • Efficiently works in electronic medical record system, files and retrieves medical charts.
  • Collects and records payments for services.
  • Performs daily reconciliation tasks, balances and prepares deposit slip.
  • Makes bank deposit at the end of each business day.
  • Properly navigates incoming and outgoing faxes by assigning to appropriate staff.
  • Scans and attaches patient documents to proper electronic chart location or assign to appropriate staff member.
  • Responsible for keeping the front reception area clean and organized.
  • Keeps the clinic waiting area cleaned/disinfected as required to ensure patient safety.
  • Responds to patients', prospective patients, and visitor inquiries in a courteous manner.
  • Participates in Health Center meeting and events as required.
  • Follows HIPAA guidelines and protects patient confidentiality.
  • Travel to all COMC locations may be required.
  • Other duties as assigned.
