About The Position

The Biochemistry Department in the College of Agriculture and Life Sciences at Virginia Tech seeks an Academic Programs Coordinator to support the administrative needs of its undergraduate and graduate programs. This role assists with award/scholarship programs by communicating with student awardees to ensure thank you notes are sent to donors. The position involves frequent interaction with students and faculty, providing administrative support for departmental events. The Coordinator also acts as a liaison between the Graduate School and the departmental graduate committee, working closely with the Undergraduate and Graduate Program Directors. Key responsibilities include managing graduate student recruitment visits, advising prospective and current students on programs and academic information, and maintaining all graduate student records (both paper and digital). The role involves tracking student progress, support mechanisms, exam completions, plans of study, and graduate program assessments. Additionally, the Coordinator collaborates with fiscal staff on graduate student contracts and tuition payments, collects data on student achievements (publications, fellowships, etc.), and serves as the point person for the Biochemistry Graduate Student Association, undergraduate peer mentors, undergraduate research lab placements, and graduations.

Requirements

  • Experience providing administrative support to an academic unit or other entity.
  • Experience in the coordination of various deadlines for academic programs.
  • Demonstrated proficiency with computer applications such as Microsoft Office, Excel, Outlook, Adobe Acrobat, and Google Docs.
  • Experience synthesizing, editing, organizing, and proofreading documents, and keeping track of various tasks.
  • Excellent communication skills.
  • Ability to work on multiple tasks simultaneously.
  • Ability to construct, use, and manage permissions of digital records.
  • Experience handling student records and assisting with grades.
  • Skills and knowledge in word processing, database management, spreadsheet software, calendar management, and managing email.
  • Ability to adapt easily, accept responsibility, and ensure a high level of accuracy with attention to detail.
  • Competency in grammar, composition, and editing abilities.
  • Must be a problem-solving, multi-tasking person with good organizational skills.
  • Knowledge of or ability to learn university policies and procedures.
  • Ability to work with sensitive information and maintain confidentiality.
