About The Position

Serves as a key contact for students, faculty, staff, and visitors, providing general oversight of the outer office of the Dean’s Suite. This role involves direct engagement through in-person interactions, email, virtual meetings, and phone calls. Responsibilities include responding to inquiries, providing information, and reporting classroom and building issues to the appropriate personnel. The position offers administrative support to the Associate Dean, which may encompass screening calls, coordinating calendars, arranging appointments and meetings, processing correspondence, reports, and documents, and assisting with student appeals, advising, and special projects. This role also supports graduate interdisciplinary studies programs, advising, and student success initiatives. This includes working with accelerated programs, college advisors, interdisciplinary program directors, and associated faculty/adjuncts. The specialist will also work with student workers employed for student success initiatives. Responsibilities include collecting and entering data for database systems related to enrollment management and assisting with graduate course scheduling. The role may also involve re-enrollment review and support, creating reports using PeopleSoft or SSC, reviewing academic class schedules, monitoring class and program enrollment, assigning LBPS advisors, maintaining and updating student records, and executing and managing faculty/adjunct contracts. Additionally, the Academic Program Specialist will maintain assigned budgets, including Interdisciplinary budgets, and manage related financial transactions using designated software. The role involves compiling, updating, and maintaining records for administrative processes, such as academic timelines, and providing administrative support for various graduate academic and UG advising programs. This includes completing forms, assisting with document preparation, editing and formatting materials, proofreading, composing routine responses, and creating routine reports, ensuring all required documentation is complete.

Requirements

  • Bachelor's degree.
  • One year of experience in administrative staff work.
  • General knowledge of business English, spelling, and grammar.
  • General knowledge of and skill in the use of word processing, database, and spreadsheet software.
  • Skill in performing basic mathematical computations.
  • Ability to present statistical material in table, chart, or graph form.
  • Ability to plan, organize, and prioritize multiple tasks and assignments.
  • Ability to handle confidential and sensitive matters with tact and discretion.
  • Ability to communicate effectively orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships.
  • Ability to operate computers and other office equipment.
  • Ability to train, supervise, and evaluate personnel.
  • Equivalent education and experience may be substituted (30 college credits = 1 year experience).

Nice To Haves

  • Two years of experience performing administrative and operations support functions.
  • Proficiency in software databases (e.g. PeopleSoft and SSC).
