About The Position

The Academic Program Specialist III provides coordination, analysis, and operational support for Phase 1 medical education, serving as a key subject-matter expert to faculty and academic leadership. This position collaborates closely with program leadership to support planning, continuous improvement, and effective delivery of the Phase 1 curriculum by managing complex scheduling, coordinating course operations, and maintaining educational and evaluation systems. The role analyzes longitudinal academic and evaluation data to inform curriculum review and quality improvement, administers course and program assessments, and supports compliance with university and college requirements. Additionally, the position supports faculty and staff in the effective use of educational technologies, develops training and documentation for academic systems, and serves as a knowledgeable resource on instructional workflows and educational systems across the institution.

Requirements

  • Master’s degree and three years of relevant experience; or an equivalent combination of education and experience.
  • Excellent computer skills, including but not limited to use with Microsoft Office (Outlook, Word and Excel).
  • Excellent communication skills, both oral and verbal

Responsibilities

  • Collaborate with the Assistant Director to support long-range planning, capacity analysis, and continuous improvement of all Phase 1 education experiences.
  • Serve as a senior subject matter expert to course directors, Phase 1 leadership, and the Course Directors Committee through analysis of student outcomes, curriculum effectiveness, and longitudinal program data.
  • Oversee course operations, to include setting standards, workflow expectations, and monitor performance of Phase 1 staff.
  • Provide guidance and oversight for Phase 1 administrative staff, including supervision, workload planning, priority setting, and professional development.
  • Ensure staff readiness through recruitment, orientation, training, coaching, and performance evaluation.
  • Oversee Phase 1 operational infrastructure, ensuring effective coordination across departments, instructional teams, and learning environments.
  • Manage and maintain complex scheduling operations, including master course calendars, examination schedules, instructional space planning, and standardized scheduling workflows for Phase 1 curriculum.
  • Develop and deliver user-focused training materials, documentation, and tutorials for educational systems used by faculty, staff, and students.
  • Serve as an escalation point for system-related issues by diagnosing problems, coordinating with appropriate partners, and communicating updates to stakeholders.
  • Administer and maintain longitudinal evaluation systems tracking student competency development, teaching effort, performance, and curriculum alignment across Phase 1.
  • Coordinate the development, administration, and refinement of course evaluations, graduate evaluations, and College of Medicine surveys.
  • Plan and coordinate longitudinal data collection, analysis, and reporting to support curriculum review, continuous quality improvement, and informed decision-making.
  • In collaboration with the Assistant Director, establish and maintain standardized operating procedures to ensure policy compliance, programmatic cohesion, and alignment with UF, COM, and accreditation standards for Phase 1 of medical education.
  • Analyze and provide recommendations to the Associate Director of Program Evaluation and Accreditation regarding educational technology infrastructure to enhance systems and operations.
  • Support faculty in implementing innovative teaching technologies and technology-enhanced instructional workflows.
  • Serve as an institutional resource to the broader university community on educational systems and instructional technology.
