About The Position

The Ira A. Fulton Schools of Engineering at Arizona State University is seeking a detail-oriented and collaborative Academic Personnel Coordinator for a new position within the Engineering Dean’s Office. This role offers a unique opportunity to work at the center of college-level academic operations, supporting faculty personnel processes across one of the largest engineering schools in the nation. Reporting to the Assistant Director of Academic Personnel, this position plays a key role in coordinating and supporting academic personnel actions including promotion and tenure, career-track promotions, probationary and multi-year reviews, sabbaticals, and annual evaluations. The role ensures accuracy, compliance, and consistency across all stages of review while serving as a critical connector between academic units and the Dean’s Office. As part of the Faculty Administration team in the Engineering Dean’s Office, this position provides high visibility into college-wide academic decision-making processes and offers strong opportunities for professional growth in academic personnel administration, operations leadership, and higher education administration.

Requirements

  • Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Experience supporting or coordinating faculty or academic personnel processes in a higher education environment.
  • Demonstrated ability to manage complex, deadline-driven workflows with a high degree of accuracy and attention to detail.
  • Working knowledge of academic personnel policies, faculty governance structures, and university review processes.
  • Strong communication skills with experience collaborating across academic units, administrators, and leadership stakeholders.
  • Experience identifying process gaps and contributing to improvements through documentation, standardization, or workflow refinement.
  • Proficiency with Microsoft Office Suite and familiarity with academic personnel systems (e.g., Interfolio or similar platforms).
  • Strong analytical and organizational skills with the ability to manage competing priorities in a fast-paced environment.
  • Demonstrated professionalism, discretion, and ability to work effectively with confidential information.

Responsibilities

  • Coordinate and monitor academic personnel actions at the college level to ensure timely, accurate progression through all review stages.
  • Review personnel cases for completeness, accuracy, and policy compliance prior to submission to senior leadership or the Provost’s Office.
  • Apply and interpret university, college, and governance policies to support consistent and equitable personnel processes.
  • Serve as a primary liaison between academic units and the Dean’s Office, supporting communication and resolving procedural questions.
  • Track multiple concurrent review cycles, proactively identifying risks and ensuring deadlines are met.
  • Develop, maintain, and improve standardized documentation, tracking tools, and workflow resources to support operational excellence.
  • Exercise sound judgment and discretion in managing confidential and sensitive personnel information.
