About The Position

The Academic Administrator provides administrative and operational support for specific academic department(s) and its chair(s) to ensure its smooth running. Administers and coordinates office procedures and activities related to faculty and students. Responsibilities may include support activities related to budget/accounting management; curriculum/scheduling; events; students; and/or tenure track and adjunct faculty searches. Supervise student worker(s).

Requirements

  • High school degree required.
  • Some post secondary education strongly preferred to provide the analytical and problem solving skills required to respond to varied demands and competing multiple projects.
  • Also provides the communication skills (verbal and written) necessary for interacting with varied constituencies.
  • 1-3 years’ related office experience with budgeting and spreadsheets.
  • Candidates must have unrestricted authorization to work in the U.S.

Nice To Haves

  • Bachelor degree preferred or equivalent
  • 3+ years of administrative experience in higher education or business.
  • Office management and software skills and attention to detail.
  • Excellent interpersonal, verbal, and written communication skills required, prior accounting experience desirable.
  • Must be able to work effectively in a culturally diverse environment.
  • Ability to multi-task and work closely with a colleague on a daily basis.
  • Adaptability is highly desirable.
  • Ability to work independently and to seek out answers from others at the College.

Responsibilities

  • Budget and fiscal management: responsible for processing all budgetary transactions in a timely manner, reconciling the budget, and providing analysis of spending within the budget.
  • Administers endowed funds and grants that support teaching and research programs.
  • Provides operational support for faculty and staff and continuity during transitions of department chairs.
  • In consultation with the chairs, prepares curriculum and staffing documentation and maintains student records.
  • Handles logistics of hiring student workers (department assistants, learning assistants, graders, research assistants) and student travel (e.g. to conferences).
  • First point of contact and primary department resource for the College community and visitors to the College.
  • Managing the day to day responsibilities of the office.
  • Liaison for technology and facilities issues.
  • Responsible for arranging logistics for meetings and special events.
  • Manages space requests for Whitin Observatory spaces.
  • Oversee GEOS van transportation calendar, book reservations and distribute keys, confirm driver certifications, and coordinate maintenance with Motor Pool.
