About The Position

Capitol Lien is a dynamic, fast-growing public records research company providing due diligence services to the title insurance, real estate, legal, and financial industries. For more than 30 years, we’ve delivered trusted real estate and UCC research to clients nationwide. As we continue to grow, we are seeking an experienced Real Estate Abstractor to join our team and deliver unmatched-quality research for our clients.

Requirements

  • Minimum 2+ years of hands-on experience abstracting real estate records (current owner, two-owner, full search or similar) at county recorder offices and/or online platforms.
  • Proven ability to proficiently read and interpret legal descriptions (metes and bounds, platted, sectional)
  • Working knowledge of property tax records and how to verify and report tax status.
  • Familiarity with title industry standards, terminology and reporting expectations.
  • Valid driver’s license (required for in-person courthouse and recorder office visits).
  • Strong clerical, typing, and proofreading skills.
  • Solid grammar, spelling and written communication ability.
  • Internet and computer proficiency, including Google Workspace (Docs, Sheets, Gmail, Drive).
  • Dependable, reliable and accountable to deadlines.
  • Strong self-management and interpersonal skills.

  • Location physical preference of upper-midwest, i.e. MN, WI area.

Responsibilities

  • Search and abstract all types of public records, including real estate and court records at county recorders, courthouses, and online sources, and professionally deliver the results to Capitol Lien clients, while ensuring the accuracy and integrity of the information reported.
  • Perform research within real estate and court records, according to the internal Abstractor Job Standards
  • Proficiently read legal descriptions
  • Examine and report on property tax records
  • Complete all orders within the expected timeframe while maintaining due diligence to ensure accuracy.
  • Follow all client instructions, understanding that each client and order may have slight variations in reporting.
  • Self-manage and prioritize orders based on due date or special requirements such as rush orders and special projects
  • Manage inbound and outbound work queue
  • Communicate with clients on quote requests, order status, ETA, and any other additional information needed
  • Ensure every communication with clients is professional and courteous.
  • Maintain proper email etiquette, including greetings and salutations
  • Update notes with any client communication regarding an order.
  • Analyze results reports for spelling and grammar before submittal.
  • Deliver all client reports via each client's preferred method of transmittal.
  • Verify and document that each order's pricing and fees are accurate, including copy costs
  • Maintain an accurate mileage log for travel and submit by the deadline.
  • Keep organized receipts for out-of-pocket expenses and submit for reimbursement on time.
  • Notify county personnel of errors discovered while searching public records
  • Update your team and the immediate supervisor of workload status and availability to assist others
  • Offer assistance to team members as workload allows.
  • Perform any additional duties, tasks, and responsibilities as assigned.
