About The Position

Catalyst Behavior Solutions is looking for a part-time Scheduling Coordinator for our Saint Cloud, MN team! This position will consist of 25-29 hours per week for scheduling tasks and will be on-site. For current staff looking to retain full-time status, we will consider a split between part-time work as a scheduler and part-time work as an RBT on a case-by-case basis. This is a position that requires a great deal of puzzling skill, critical thinking, the ability to manipulate multiple pieces of information in your head at the same time, and most of all, communication. If you have prior experience scheduling for any large group of medical providers and enjoy the process of putting pieces of a puzzle together, then we want to work with you!

Requirements

  • High school diploma or GED
  • Proficient in software systems, Excel, Teams, and cloud-based Microsoft programs.
  • Must have excellent critical thinking, communication, and interpersonal skills This position requires the ability to multi-task and have high attention to detail
  • Computer literacy skills including Outlook and Microsoft Office programs.
  • Applicants must be available between 7 am - 10 am CST M-F and for at least 30 minutes at the start of each scheduling block. All remaining hours can be on your own schedule and timeline!
  • This position will start at 25 hours per week.

Nice To Haves

  • Past experience training or managing scheduling team is preferred (even though this is NOT a management position)
  • Past work history with ABA scheduling is strongly preferred

Responsibilities

  • Receive and relay daily communication about schedule changes.
  • Handle all day-of cancellations from clients and staff while working to reschedule or coordinate fill-ins that are appropriate for the client based on direction from our Behavior Analysts.
  • Create the permanent seasonal schedule based on communication from our Director of ABA Operations, our Behavior Analyst team, client availability, and staff availability.
  • Update patient and staff availability in Central Reach. Maintain up-to-date records on the availability of staff and patients.
  • Maintain weekly and monthly attendance reports for clients and report issues or patterns to the appropriate director.
  • Modify and update patient schedules as necessary.
  • Address concerns with filling schedules/communication directly with our Director of ABA Operations.
  • Assist in evaluating the staffing needs per location.
  • Communicate all schedule changes to Behavior Analysts, RBTs, and program directors as needed.
  • Work with our billing/auditing team to address any gaps in time on staff timesheets and daily billing for clients.
  • Other duties as assigned.
