About The Position

The Scheduling Coordinator plays a crucial role in ensuring adequate and appropriate staffing for a skilled nursing facility. This position is responsible for creating and maintaining staff schedules, managing requests for time off, and coordinating with nursing staff and other departments to ensure smooth daily operations. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and problem-solving skills.

Requirements

  • High school diploma or equivalent required
  • Minimum of one year of scheduling experience in a healthcare setting, preferably in a skilled nursing facility.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite or similar software.
  • Ability to work independently and as part of a team.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Ability to maintain confidentiality and handle sensitive information.

Nice To Haves

  • Knowledge of On-Shift scheduling software and electronic health records (EHR) systems is preferred.
  • Knowledge of Paycom systems is preferred.

Responsibilities

  • Develop and maintain staff schedules: Create weekly/monthly schedules for nursing staff and potentially other departments.
  • Ensure appropriate staffing levels to meet resident care needs and regulatory requirements.
  • Consider staff availability, certifications, and skill sets when creating schedules.
  • Distribute schedules in a timely manner and post updates as needed.
  • Manage time-off requests: Process requests for vacation, sick leave, and other absences.
  • Track approved time off and ensure adequate coverage for all shifts.
  • Coordinate with staffing agencies or per diem staff to fill vacancies as needed.
  • Coordinate with nursing staff: Communicate schedule changes and updates to staff promptly.
  • Address scheduling concerns and resolve conflicts fairly and efficiently.
  • Maintain open communication with nursing staff regarding their scheduling preferences and availability.
  • Collaborate with other departments: Work closely with the human resources department to ensure compliance with labor laws and regulations.
  • Coordinate with therapy, activities, and other departments to ensure seamless resident care.
  • Maintain accurate records: Keep detailed records of staff schedules, time-off requests, and attendance.
  • Track and report staffing shortages and overtime hours.
  • Assist with payroll processing by providing accurate time and attendance information.
  • Other duties as assigned: May assist with onboarding new nursing staff and providing orientation to scheduling procedures.
  • May participate in recruitment efforts and job fairs.
  • May assist with other administrative tasks as needed.
