About The Position

We are looking for an ABA (Applied Behavior Analysis) Intake Specialist to join our team and help families take the next step toward accessing meaningful behavioral health services. If you’re organized, compassionate, detail-oriented, and great at keeping things moving, you’ll fit right in! As an Intake Specialist, you’ll be an important part of the client experience—serving as a friendly and knowledgeable point of contact while coordinating the details needed to get new clients successfully connected to services.

Requirements

High school diploma or equivalent
Fluency in Spanish
2–3 years of experience in intake, admissions, healthcare administration, behavioral health, ABA, scheduling, customer service, or a related field
Strong communication, organization, time-management, and attention-to-detail skills
Ability to manage multiple priorities, meet deadlines, work independently, and solve problems effectively
Professional and compassionate approach when working with clients, families, referral sources, and internal teams
Ability to handle sensitive and confidential information appropriately
Proficiency with Microsoft Office, Google Workspace, electronic medical records, CRM systems, scheduling platforms, or similar software

Nice To Haves

Associate’s or bachelor’s degree in healthcare administration, business, behavioral health, human services, or a related field
Experience in ABA, behavioral health, or healthcare
Experience working with clients, families, referral sources, or healthcare providers

Responsibilities

Be the first point of contact: Respond to inquiries from prospective clients, parents, guardians, referral sources, and other stakeholders in a timely, professional, and compassionate manner.
Coordinate the intake process: Manage new client intakes from initial referral through admission and transition to clinical services.
Gather the details: Collect, review, and maintain required client information, documentation, forms, and other intake materials.
Keep things moving: Track pending intakes and proactively follow up on outstanding paperwork, authorizations, assessments, and other requirements.
Coordinate across teams: Work closely with clinical, scheduling, authorizations, and administrative teams to help ensure clients are ready to begin services.
Solve problems: Identify potential barriers or delays and work with the appropriate teams to resolve them.
Stay organized: Maintain accurate client records, communication logs, and intake tracking information.
Communicate with care: Keep clients, families, referral sources, and internal teams informed throughout the intake process.
Handle sensitive information: Maintain confidentiality and protect client information in accordance with company policies and applicable requirements.
Support a positive client experience: Help make what can be an overwhelming process feel clear, organized, and welcoming.
Participate in department meetings, trainings, and company initiatives.
Perform other duties as assigned by management.
