About The Position

The A/P Coordinator and Office Generalist will provide support to the Finance operations team of CCL Industries, a $5.0 Billion corporation with headquarters in Toronto, Canada. The position will report into Victoria Sho, Director - Financial Planning and Analysis with day-to-day functional responsibility to Lana Perel, Senior Financial Analyst, and will be based at the CCL Operations Group Headquarters in Framingham, MA. It is a full-time, in-person role (not remote or hybrid).

Requirements

  • Ideal candidate would be a professional with 3 to 5 years of experience in an office environment, with strong data management skills and IT skills and ideally some experience in AP function
  • Must be fluent in Excel, Word and other commonly used Microsoft Office software
  • Must be very detail oriented and have strong organizational, verbal and written communication, and interpersonal skills
  • Must have a professional demeanor with the ability to communicate across all levels of the organization, the maturity/integrity/discretion to handle confidential and sensitive information, and the capacity to function as an effective and respected resource and partner within the organization
  • Must be able to work independently and set priorities to meet firm reporting deadlines
  • Must have a willingness to get things done regardless of the task, and be comfortable in a small, open office environment
  • Must have a good sense of humor and be easy to get along with in our small office!!!

  • User Experience with JD Edwards a plus

Responsibilities

  • Request approval of and process vendor invoices
  • Collect W-9s
  • Gather/confirm information for new vendor set up
  • Code vouchers
  • Post manual payments (wires, tax payments)
  • Enter AP Paper Transfers for I/C payments
  • Scan all payments and file paid vouchers
  • Processing expense reports
  • Assist with check runs (weekly)
  • Create petty cash reports
  • Assist with other projects as they arise, especially around Quarter and Year End reporting and related to month end reporting
  • Additional duties could be added over time based on band-with and performance.
  • Replenish office (including Fed Ex and Pitney Bowes) supplies and review associated invoices
  • Prepare daily outgoing mailings (regular mail and Fed Ex packages), including weekly Fedex package for HR team
  • Perform maintenance checks on Pitney Bowes mail machine
  • Provide telephone and other office support as needed
  • Greet and direct visitors
