The Youth Transitions Unit within the Office of Child Welfare Programs (OCWP) is seeking a highly motivated individual who has experience with invoice systems, payment processing, and Microsoft Excel. Summary of Duties As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon’s most vulnerable children and families. Your dedication will help us achieve the Child Welfare Vision for Transformation that will support children and young adults to be safer, healthier, experience less trauma and achieve a greater well-being. This position will provide daily administrative support to the Youth Transitions Program, and its Program Manager and Program Coordinators as needed. Assignments will include extensive data entry tasks and a variety of administrative duties.

Requirements

  • Two (2) years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR An associate degree in general office occupations and one (1) year of experience with records processing, generating documents, and gathering and sorting data; OR An equivalent combination of education and experience.
  • Experience utilizing Microsoft Excel at an intermediate or advanced level.
  • Experience providing customer service and building positive relationships with customers, staff and/or contractors.
  • Experience issuing payments and/or processing invoices.
  • Experience and knowledge of adolescent development, the impact of foster care, and the barriers transition age youth face.

Responsibilities

  • Provide daily administrative support to the Youth Transitions Program.
  • Verify youth eligibility for funding and services.
  • Validate Independent Living Program (ILP) service documentation.
  • Complete data entry for Independent Living Programs (ILP) and grantees.
  • Complete invoice validation.
  • Process payments.
  • Track documents and funding.
  • Communicate with ILP community contracted providers regarding billing and documentation.
