About The Position

As a Workplace & Talent Coordinator at Charta Health, you'll heavily into recruiting coordination by partnering with recruiters and hiring managers to create a seamless candidate experience from start to finish. As the heart of the office, you’ll ensure our office runs smoothly and help welcome new hires. The ideal candidate will take great pride and ownership in maintaining an exceptional office environment, and thrive in a fast-paced startup setting.

Requirements

  • 1–3 years of experience in recruiting coordination, administrative roles, office management, operations, or customer service (internships welcome).
  • Experience with Google Calendar and basic scheduling; eager to grow into more complex coordination responsibilities.
  • Experience with ATS/CRM tools (Gem, Lever, Greenhouse) is helpful but not required.
  • Bachelor’s degree or equivalent experience.

Responsibilities

  • Schedule interviews across multiple teams and hiring processes, often balancing shifting priorities.
  • Manage calendars, Zoom links, interview confirmations, and onsite logistics.
  • Serve as the primary point of contact for candidates, ensuring warm, timely, and thoughtful communication.
  • Maintain candidate records in our ATS (Gem), keeping pipelines organized and up to date.
  • Prepare interview materials, and ensure interviewers have what they need.
  • Track candidates through the funnel and flag delays or issues to recruiters or hiring managers.
  • Support onsite interview days with hospitality and logistics.
  • Oversee daily office operations, including supplies, kitchen/stocking, deliveries, and general upkeep.
  • Act as the on-site liaison for employees, guests, vendors, and building management.
  • Coordinate facilities needs such as access, repairs, equipment setup, and maintenance.
  • Support office hospitality such as catering, meal programs, meeting room preparation, and small events.
  • Maintain a clean, organized, welcoming workspace that reflects our culture.
  • Prepare new-hire workstations including equipment, access badges, swag, supplies, and workspace setup.
  • Assist with day-one orientation logistics and help ensure a friendly, smooth new-hire experience.
