As a Workplace Operations Manager in San Francisco, you will be responsible for leading comprehensive workplace operations while driving measurable contributions to our department-level objectives and cross-functional team success. Reporting to the Director of Workplace, you will deliver exceptional employee experiences that foster an inclusive environment where all team members feel heard and valued, while maintaining operational excellence and supporting company-wide workplace programs. You will have strategic visibility into daily operations, lead complex service delivery initiatives, and serve as a key escalation point for workplace issues, including executive-level outcomes. Your role involves managing vendor relationships, coordinating directly with landlords on facility matters, and collaborating effectively with cross-functional partners to solve complex workplace challenges. You will also contribute to setting the cultural tone for our workplace and employee community (known as “Cladiators”), incorporating company values into key decision-making processes. This role requires 4 days per week in-office presence under normal operations, with increased onsite time during our new office opening phase or for other projects as necessary. Regular presence is expected during business hours (8:30am-4:30pm), and travel to other offices will be necessary as we expand our regional footprint and support global workplace strategies.

  • Manage the day-to-day operations of our San Francisco office, including facilities maintenance and repair, events, processes, policies, and communications.
  • Serving as the in-person, main point of contact for all San Francisco office needs and questions.
  • Monitoring, ordering, and stocking office supplies, snacks, and beverages in alignment with usage and our set budget.
  • Actively monitor the office for facilities concerns and facilitate timely repairs with building management.
  • Oversee move into our new office and prepare our new space for its opening.

  • Monitoring employee sentiment and workplace satisfaction to create an inclusive environment where all team members feel heard and valued, while balancing operational priorities and fostering authentic community/culture building
  • Developing and managing budgets aligned with department-level goals, ensuring cost-effective operations while identifying optimization opportunities and clearly communicating financial impact to cross-functional partners
  • Negotiating and maintaining vendor contracts to guarantee reliable, high-quality services while managing stakeholder relationships and ensuring accountability across multiple service delivery programs
  • Creating and implementing workplace operations processes, initiatives, and playbooks that align with global strategies & company policies.
  • Regularly updating escalation criteria and procedures based on emerging situations and executive feedback
  • Ensuring all facilities comply with local regulations, safety standards while incorporating company values into key decision-making processes and maintaining adaptability to changing requirements
  • Coordinating strategic space allocation with the Workplace Programs team and planning to support organizational growth, balancing functionality, employee experience, and cost considerations while collaborating with cross-functional teams
  • Overseeing complex workplace event planning and execution to ensure alignment with company culture and values, delivering engaging experiences that strengthen community and support department goals, including:
  • Planning and hosting end of quarter and end of year celebrations
  • Curating additional Workplace-sponsored local events
  • Supporting employees hosting events in remote locations
  • Fostering an engaging environment & office culture through events and surprise and delights
  • Participating disaster response management and business continuity planning for scenarios including natural disasters, evacuations, and emergencies, owning escalated executive outcomes
  • Tracking and analyzing operational metrics to measure performance against team and department plans, identifying areas for improvement and redirecting focus when results aren't advancing key objectives
  • 4+ years of experience in Workplace Management or Facilities Management, with 2+ years in a management role and driving measurable cross-functional contributions at the department level
  • Proven ability to manage an HQ office while acting as a partner to senior leadership in setting values and cultural direction
  • Strong problem-solving capabilities for complex workplace challenges, with experience escalating appropriately to cross-functional partners and owning executive-level outcomes
  • Excellent verbal and written communication skills that create understanding and drive collaboration within and across teams, with ability to help others connect their work to broader department goals
  • Experience in event planning, program creation, and complex service delivery with focus on inclusive experiences that build community and reflect company values
  • Ability to effectively manage dedicated onsite vendor staff (day porter, snack program concierge, reception, etc)
  • Proficient in budget development and management, with ability to align financial planning with team objectives and communicate impact to stakeholders
  • Hands-on experience with workplace technology platforms including Google Suite, Brivo, Coupa, Slack and other Workplace tools to streamline operations and support global programs
  • Experience contributing to interview processes for team hiring and supporting recruitment efforts across multiple groups
  • Passion for creating efficient, inclusive workplace environments where employees feel heard and valued, with commitment to incorporating company values in daily operations
  • Experience in capacity planning, familiarity with lease negotiations, and space management to support company growth while maintaining focus on department-level impact and cross-functional collaboration
  • CFM certification a plus, demonstrating expertise in facilities management best practices and strategic workplace planning
