We’re looking for an exceptional Workplace Operations Manager to own and continuously elevate the San Francisco workplace experience at Ambience. This is a highly visible, high-ownership role responsible for ensuring the office runs with quiet reliability while feeling warm, energized, and deeply intentional. You’ll treat the workplace as a product — designing scalable systems, anticipating needs before they surface, and eliminating friction so teams can do their best work. From infrastructure and vendor management to onboarding readiness, culture, events, and long-term space strategy, you’ll serve as the operational backbone of our in-person environment and a key steward of Ambience’s culture. This role is ideal for someone who thrives in ownership-heavy environments, operates calmly amid complexity, and takes pride in building spaces people genuinely want to be in — not just functional, but world-class. (SF based, 3-5 days a week onsite)

Requirements

  • An experienced, operationally excellent workplace leader who designs and runs reliable systems, anticipates issues before they escalate, and sets a high bar for precision and follow-through
  • A high-ownership builder who treats the office and workplace experience as a product, taking end-to-end responsibility and continuously improving how the environment supports the business
  • Calm, adaptable, and solutions-oriented, able to navigate ambiguity, manage competing priorities, and lead through change without creating unnecessary friction
  • A strong systems thinker who documents processes, builds scalable and repeatable workflows, and enables others to operate confidently and independently
  • A trusted, warm, and professional communicator who partners effectively with employees, leaders, and cross-functional stakeholders, and manages external vendors with clarity and accountability
  • Comfortable being hands-on and onsite while also operating at a strategic level — overseeing vendors, budgets, office infrastructure, events, and space planning, and stepping in where needed to make things happen
  • Bringing 4–6+ years of experience in Workplace, Office Operations, Facilities, or similar roles, with demonstrated ability to manage complexity in a fast-moving environment
  • Highly organized with excellent written and verbal communication skills; bonus experience with Notion, procurement tools, asset management systems, or space planning platforms

Responsibilities

  • Deliver a World-Class Office Experience
  • Own day-to-day office operations to ensure the SF space is reliable, welcoming, and frictionless. Be the in-office point person for guests, deliveries, vendor coordination, and real-time issue resolution.
  • Lead Onsite Onboarding & Logistics
  • Manage physical onboarding end-to-end — from workspace setup and equipment to meals and access. Partner with People Ops and IT to ensure Day 1 readiness and own equipment logistics for onboarding/offboarding.
  • Own Space Strategy & Growth Planning
  • Track space utilization, maintain seat maps, and plan for future headcount needs. Manage real estate relationships and lead reconfigurations, expansions, or relocations as the team scales.
  • Drive Culture Through Space & Events
  • Plan intentional in-office events that foster connection and belonging. Own the aesthetic, layout, and vibe of the space, and serve as a visible culture carrier for employees, guests, and candidates.
  • Build Scalable Workplace Systems
  • Create and maintain SOPs, dashboards, and workflows that optimize procurement, safety, inventory, and cost. Partner cross-functionally with People, Finance, IT, and Facilities to ensure seamless workplace operations.
