About The Position

The Workplace Experience Specialist supports the daily operations and employee experience of the Phoenix office. This role focuses on delivering a welcoming, engaging, and efficient workplace by coordinating office logistics, administrative support, supporting site-based programs, and ensuring smooth onboarding for new hires. The Specialist partners closely with the onsite Workplace Experience Manager, local leaders, and Phoenix-based employees to bring AssetMark’s culture to life. Candidates for this position must be able to accommodate an in-office work schedule and be close to our Phoenix, AZ location. Requirements

  • At least 2 years working in an office environment
  • Proficiency in Microsoft Office Suite with an emphasis on Outlook and Excel
  • Excellent verbal and written communication skills
  • Ability to work independently and re-prioritize when necessary
  • Knowledge of how to set up office systems and procedures
  • Time management skills
  • Multi-tasking skills

Responsibilities

  • Manage front-desk reception area as a warm, welcome and securely controlled environment, including receiving and directing clients and visitors
  • Oversee incoming/outgoing mail, shipping, and package distribution within a secure, regulated environment
  • Administrative duties; including calendaring & scheduling, and other administrative support
  • Order essential office supplies, including sit/stands, ergonomic keyboards, and other items
  • Maintain copiers by replenishing paper, replacing toner, and disposing of toner waste as needed
  • Manage the procurement of breakroom essentials for all four floors, including coffee, tea, creamers, cups, plates, utensils, and other necessary items to support employee needs
  • Order and track building-related supplies, including air filter refills and sanitizer refills to maintain a clean and healthy work environment
  • Maintain oversight of conference rooms, conference room scheduling, break rooms and common areas
  • Maintain control over sign-in and temporary badge access, answering general phone calls, and managing general office supply function in support of the operation
  • Coordinate lunch, coffee, and logistics for work meetings as requested
  • Provide logistic support for meetings/event (e.g. lunch ordering, stocking mini fridges, setting up drink stations, or setting up videoconferencing room features, etc.) as requested
  • Assist in coordination of internal site-specific employee events, including site selection, event coordination, and communications to onsite employees
  • Maintain control over parking badges, allocate appropriately, and order parking validation stickers as needed
  • Act as Safety Floor Warden; maintain ownership of office AED devices, checking batteries and ordering replacements
  • Work with property management representatives, including forwarding important building notices/communications via email to staff, and creating tickets for various Service requests for the office
  • Other duties as assigned
