The Global Workplace Experience team at Moloco is seeking a seasoned, energetic, and thoughtful Workplace Experience Coordinator to help design and deliver best-in-class, hospitality-driven experiences for our employees. This role offers a rare opportunity to build from the ground up crafting meaningful, people-first experiences while thoughtfully scaling workplace programs in our New York Office. Requirements

  • 6+ years of relevant experience in hospitality, upscale hotel management, workplace operations or employee experience
  • Exceptional interpersonal skills with a warm, hospitality first approach to creating welcoming, high performing workplaces, you are the face of our day to day operations
  • Actively incorporates feedback into future work and continuously seeks improvement
  • Proven ability to manage multiple priorities and lead large scale projects with confidence and clarity
  • A solutions focused self-starter with a proactive and positive growth mindset
  • Demonstrates clear communication and thoughtful documentation; consistently contributes innovative ideas
  • Builds strong relationships and navigates challenges with energy, empathy, and professionalism
  • Comfortable evaluating technical workflows and leveraging tools like AI to streamline or automate manual processes
  • Anticipates risks, adjusts priorities as needed, and acts decisively under pressure

Responsibilities

  • Be the culture champion of the offices, build strong relationships with all employees by delivering high touch hospitality driven support
  • Respond promptly and positively to all inquiries in person, via Slack or other channels
  • Provide forward thinking documented proposals for potential enhancements to experiences and in office initiatives
  • Use feedback and data to tailor employee offerings and experiences to meet local needs and preferences
  • Maintain event trackers, highlighting relevant insights and trends to leadership
  • Lead, plan and execute all in office events, ensuring they deliver thoughtful and memorable experiences
  • Identify gaps and opportunities in event strategy to leadership with proposed future solutions
  • Own front desk program standards and ensure seamless execution by onsite teams
  • Serve as a liaison between the city, landlord and internal teams
  • Provide and deliver insights into all workplace related programs (large events likes holiday party, food programs, Event experiences like WE Day, mailroom services, swag)
  • Maintain the office’s overall look and feel, creating and documenting standards where they don’t exist
  • Oversee badging and access control systems to ensure secure and efficient operations
  • Provide badging data sets and insights to all trackers, decks and identify areas of change and abnormalities
  • Meticulous management of workplace contracts, budget tracking and forecasting
  • Oversee vendor onboarding into our financial tools
  • Partner with internal stakeholders like Finance and Procurement to conduct RFPs and QBRs
  • Lead and execute office related build projects, identifying stakeholders, managing timelines and hosting retrospectives
  • Support office moves and relocations
  • Update and manage internal and external workplace content and playbooks
  • Identify and address communication gaps with a solution orientated mindset
  • Deliver clear, proactive communication plans around events, safety updates and other workplace initiatives
  • Manage vendor relationships, resolve issues promptly and monitor performance against SLA’s
  • Manage and maintain vendor related playbooks and required documentation
  • Ability to influence decisions with other stakeholders and colleagues
  • Oversee and adjust local office operations to align with workplace expectations and standards
