About The Position

Under the general supervision and direction of the Conference Services Manager, the Workplace Ambassador (WPA) serves as the on-floor concierge who takes full ownership of all office-related aspects to maintain a warm, welcoming and professional atmosphere for all clients, executives and associates at all times. The Workplace Ambassador (WPA) is the first point of contact for unassigned seating floor(s) and must be adept at taking ownership of all aspects, including, but not limited to; facilities & services located within a predetermined area; assuring users feel comfortable and have all the tools necessary to be as productive as possible. Through professionalism and effectiveness, the WA will actively manage and coordinate the delivery of the "World's Best Workplace" for members of the firm.

  • Ability to focus attention on guest needs, remaining calm and courteous at all times

Responsibilities

  • Act as an overall Hospitality Services resource and liaison on the unassigned floors.
  • He/she conducts daily walkthroughs of each designated floor to assure everything is prepared in accordance to the established standards.
  • Communicating requests to the appropriate internal support departments such as, building maintenance (heating and cooling issues), information technology (computer /phone issues), and mail room (package pickups and deliveries).
  • He/she is aware of all visitors and VIPs expected to be on floor and anticipates their arrival.
  • He/she pro-actively manages the general cleanliness of on-floor meeting and conference rooms
  • He/she pro-actively manages transitions of new joiners, assigns lockers and provides floor orientation as well as local city knowledge.
  • Resetting, refreshing and turning rooms as necessary in meeting space. Working with managers and GSA's to minimize room turns while being flexible to ensure the best client experience
  • Wiping down/cleaning all tables and chairs.
  • Supplying and setting up items not included in rooms (flip charts, whiteboards, screens, etc.).
  • Ensure all equipment (tables, chairs, ect.) utilized for meetings are of the best repair while identifying and reporting issues with non-functioning items.
  • Re-setting rooms between meetings.
  • Making sure meeting room trash was removed and carpets were vacuumed the previous night by reporting to maintenance or personally as necessary
  • Assist filling in at the Reception desk as assigned
  • Responsible for posting flyers in pantries upon specified posting timeline and proactively viewing and removing flyers immediately following end of posting and placing counter-top sign holders back in cabinet when not in use
  • Effective ordering of supplies with a goal to minimize inventory and limit week-to-week carryover of goods
  • Ensure stocking of pantry items available to Firm employees at regular intervals from 7am-5pm, Monday through Friday per SOP on "look" and need
  • Coffee machine management
  • Responsible to visibly review any vending issues each visit to pantry and report as necessary with posting
