About The Position

We are seeking a Workday Administrator to join Smartly’s People Systems team, reporting into the HR Operations Lead. This senior individual contributor role will focus on the technical configuration, functional design, and ongoing support of our Workday Human Capital Management (HCM) environment. At Smartly, our People systems play a critical role in supporting a growing, global workforce. In this role, you’ll collaborate closely with partners across People Operations, Finance, IT, and Business Operations to ensure Workday enables efficient, compliant, and scalable people processes, with a strong emphasis on data integrity and operational excellence. As part of Smartly’s forward-looking People Technology strategy, you’ll also help evaluate and adopt new Workday capabilities, including AI-enabled features and automations, where they meaningfully improve workflows, reporting, or the employee experience. The ideal candidate is a seasoned Workday professional who enjoys owning complex systems end to end. You balance speed with governance, think proactively about downstream impacts, and act as a trusted partner to HR Operations. You’re comfortable going deep into configuration details while also bringing structure and clarity to a fast-moving, global environment.

Requirements

  • Experienced HRIS Professional: 7+ years of hands-on experience in HRIS administration with at least 5 years focused on Workday HCM. Workday Pro Certifications are a strong plus.
  • Technical Expertise: Proficient in Workday HCM, Advanced Compensation, and Security Administration, with proven success in end-to-end implementations, enhancements, and integrations. Familiarity with Workday Extend, Studio, EIBs, and calculated fields preferred.
  • Strategic & Analytical: Skilled at translating complex business requirements into scalable, intuitive system configurations. Strong analytical mindset with a focus on data accuracy and continuous improvement.
  • Project Leadership: Capable of independently managing multiple projects from requirements gathering to deployment and post-launch support. Strong communication and change management skills with a proactive approach to stakeholder engagement.
  • Adaptable & Collaborative: Thrives in a fast-paced, global environment. Able to pivot quickly to meet evolving priorities while maintaining attention to detail.
  • Security Minded: Experienced in designing and maintaining Workday security frameworks across global markets, ensuring appropriate data access, compliance, and audit readiness.

Nice To Haves

  • Workday Pro Certification in HCM, Compensation, or Security
  • Experience supporting global organizations with complex data structures and integrations
  • Familiarity with Greenhouse, ADP, and other HR tech tools
  • Bachelor’s degree in Human Resources, Information Systems, Business, or related field

Responsibilities

  • Workday Configuration and Support: Administer and enhance Workday HCM, including Core HCM, Compensation, Advanced Compensation, Talent, and Time & Absence, ensuring configurations align with business processes, job architecture, and compliance standards. Troubleshoot system issues, resolve configuration challenges, and ensure smooth operation across modules.
  • Assess Downstream Impacts: Apply deep functional understanding to evaluate the impact of changes on integrations, reports, and external systems such as payroll, benefits, and recruiting tools.
  • Build and Maintain Reporting Infrastructure: Design and maintain custom reports, calculated fields, and dashboards to provide actionable insights for stakeholders and leadership teams.
  • Cross-Functional Collaboration: Work closely with IT, Finance, and Business Operations to translate business needs into scalable Workday solutions. Partner with global People teams to improve data flows, optimize business processes, and enhance the employee experience.
  • Serve as a Workday SME: Act as a trusted advisor on Workday best practices, providing guidance on governance, change control, and process optimization. Stay current on Workday releases and AI features, leading the assessment and implementation of new features.
  • Testing & Quality Assurance: Own end-to-end testing processes for configuration changes, integrations, and Workday releases. Develop and maintain test scripts, regression testing plans, and validation documentation.
  • Integration and Data Management: Collaborate with technical teams to design, test, and maintain integrations between Workday and third-party platforms. Ensure data integrity, synchronization, and security across systems.
  • Documentation & Training: Develop and maintain system documentation, training materials, and job aids to promote user adoption and consistent processes.
  • Recruiting System Alignment: Partner with Recruiting Operations to manage data flow between Workday and Greenhouse, ensuring seamless handoffs and accurate position management.
