The purpose of this classification is to perform clerical work associated with processing work requests from schools and maintaining computerized work order system.

Requirements

  • High school diploma or GED required.
  • Associate’s degree with course work emphasis in business administration or personal computer operations preferred; supplemented by three (3) years previous experience and/or training that includes office administration in a building repair/maintenance environment, work order processing, basic bookkeeping, customer service, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Ability to communicate effectively verbally and in writing.
  • Ability to use technology to complete essential functions of job.
  • Ability to perform addition, subtraction, multiplication, and division. Ability to calculate decimals and percentages.

Responsibilities

  • Acts in a professional, respectful, and courteous manner at all times.
  • Creates a customer-focused climate and provides quality services and support to school and other stakeholders.
  • Complies with applicable district, state, and federal codes, laws, rules, regulations, standards, policies and procedures.
  • Provides clerical support for the assigned department; processes a variety of documentation associated with department operations within designated timeframes and per established procedures.
  • Performs customer service functions; provides information/assistance regarding department services, activities, procedures, fees, or other issues; responds to routine questions, complaints, or requests for service; initiates problem resolution.
  • Processes work orders received from schools in writing, by telephone, or through Requestline.
  • Enters work orders into computerized work order program and maintains work order log; reviews, approves, and assigns appropriate priority levels to work orders; prints approved telephone work orders on work order forms; distributes work orders to appropriate craft foreman/supervisor (electrical, mechanical, plumbing, carpentry, or other trade); receives completed work orders from supervisors to be entered into computer and stamped as complete; files completed work orders; monitors/tracks status of open/pending work orders; distributes reports of status of complete/incomplete work orders.
  • Receives emergency work requests; initiates work order forms; determines urgency of work request for potential hazard and which craft to contact; contacts foreman or supervisor of emergency situations by telephone, two-way radio, or pager; pages or contacts department employees as requested by foreman/supervisor.
  • Assists in tracking labor/material costs associated with each work order.
  • Enters data in budget worksheets as requested.
  • Prints and distributes daily employee timecards and distributes to craft foremen.
  • Compiles various data relating to department operations; makes applicable calculations; prepares/generates reports; maintains records.
  • Types, composes, prepares, or completes various forms, reports, correspondence, logs, work orders, time cards, or other documents.
  • Communicates through the proper channels to keep supervisor and other appropriate personnel informed of impending problems or events of unusual nature.
  • Follows established procedures for ensuring assigned areas are safe.
  • Works collaboratively with school staff, students, parents, and other stakeholders.
  • Attends work and arrives to work on time.
  • Maintains confidentiality.
  • Adheres to the Teacher Code of Ethics as defined by Tennessee Law.
  • Attends meetings as needed.
  • Provides assistance to other employees or departments as needed.
  • Receives various forms, reports, correspondence, daily sign-out sheets, work order logs, complete/incomplete work order reports, project reports, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.
  • Operates a computer to enter, retrieve, review or modify data; performs data entry functions by keying data into computer; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, work order Requestline, e-mail, Internet, or other programs.
  • Performs basic maintenance of computer system and office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed; provides assistance/support with operation of computers or office equipment, which may include setting up computer system users or adding/changing user security levels.
  • Monitors inventory of department supplies and forms; ensures availability of adequate materials to conduct work activities; initiates requests/orders for new or replacement supplies.
  • Maintains file system of various files/records; prepares and sets up files; sorts/organizes documents to be filed; files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete documents.
  • Performs general/clerical tasks, which may include making copies, sending/receiving faxes, filing documentation, processing incoming/outgoing mail, or updating department manuals/documentation.
  • Performs other duties as assigned.
