This position will focus on well-being work across the UW School of Medicine and UW Medicine healthcare system. The mission of the UW School of Medicine (SoM) Office of Faculty Affairs (OFA) is to support and empower our community of faculty to learn, grow, and thrive. OFA brings together a variety of resources including year-long courses, day-long seminars and many half-day workshops for the SoM faculty. These educational offerings range from leadership development, well-being practices, career design, and teaching skills. The UW Medicine Well-Being team, embedded within OFA, focuses on supporting our faculty, staff, and learners in the School of Medicine as well as all members of the healthcare team in our hospitals and clinics with the goal of promoting professional fulfillment and healthy work / life integration through building a culture of well-being, personal resilience, and workplace efficiencies. This position will collaborate with the Chief Well-Being Officer (CWO), Dr. Anne Browning, to develop well-being plans, assessment tools, interventions and supports to respond to needs of our community's emerging needs. The focus of this role will be on two main functions. The first focus is on the collaborative development and implementation of well-being initiatives and programs with local well-being leaders across UW Medicine to benefit all members of the UW Medicine community. Secondly, this role will support the logistics and operations of the growing well-being team - including direct administrative support for the CWO. Success in this role will require a broad range of skills in addition to a willingness to work creatively and innovate in a changing environment. The Well-Being Program Operations Specialist will support the development of well-being initiatives in collaboration with a team of well-being leaders across UW Medicine. The scope of the well-being work within UW Medicine encompasses all 28,000+ employees in the School of Medicine and the UW Medicine clinical enterprise. This role will lead the development of new programs and initiatives to support system wide well-being work. Given that this work will respond to emerging needs in our community, the Program Operations Specialist will need skills to develop and manage a program from its initial concept through to its evaluation. As such - success in this role will require a broad range of strengths including creativity, organization, innovation, and flexibility. The Program Operations Specialist will provide key administrative support to a growing well-being group and committee structures that have been developed to bring together local well-being leaders, researchers, and practitioners. This role will also provide strategic administrative support for the CWO through the development of presentations and by providing logistical support for well-being meeting coordination as well as helping to schedule meetings between the CWO and other UW Medicine leaders. As an administrative support for the CWO, the Program Operations Specialist will engage weekly with leaders and their administrative partners across UW Medicine. In the development of well-being programs, this role will interact with key well-being stakeholders across the clinical enterprise and the UW School of Medicine. This role will also partner with local and campus-wide well-being programming leads as well as with the Office of Health Care Equity and the Whole U.

Requirements

Bachelor's Degree in related field.
2 years prior experience in health care, higher education, communications, marketing, outreach, engagement in diverse communities, or equivalent fields.
Excellent written and oral communication skills.
Strongly proficient in PowerPoint, Excel, Outlook.
Ability to work independently with a high degree of reliability, accuracy, and productivity while managing multiple deadlines and priorities.
Ability to problem solve and exercise independent judgement while handling multiple tasks.
Self-motivated and able to build relationships at all levels of the organization.
Flexible and able to prioritize and juggle competing priorities.
Creative out of the box thinker who will develop novel responses to persistent challenges.

Nice To Haves

Advanced degree (MA, MS, MPH or similar degree) in related field.
Demonstrated ability to work in a hybrid team setting and communicate effectively with multiple stakeholders including senior leaders.
Prior experience working at a large academic or medical institution, ideally with demonstrated commitment to well-being work.
Prior experience in project management.

Responsibilities

Collaborate with the CWO and community stakeholders in the development of system-wide well-being programming.
Analyze emerging needs and use data driven feedback when partnering with the CWO to develop high impact programming. Such programming may include community-wide book clubs, well-being events, interactive marketing and communications content, organizing and convening groups with specific well-being sub-focuses, etc.
Lead stakeholders through the implementation process including establishing policies, methods, and procedures, ensuring programs operate within policies and regulations, training applicable staff, and identifying success measures.
Provide logistic support and thought partnership for a well-being needs assessments for UW Medicine to help develop a multi-year well-being strategic plan with the CWO to respond with the targeted development of new programs.
In collaboration with well-being leaders across UW Medicine, help build and implement well-being initiatives tailored to specific sites, departments, and medical entities.
Collaborate with partners in marketing and communications to develop and implement a plan to increase awareness and utilization of well-being programming across UW Medicine.
Provide operational support for several well-being committees including Well-Being Steering Committee, Well-Being Department Leads, Well-Being Practitioners Group, Well-Being Faculty Council, Shared Services Well-Being Group, and the Survey Integration working group.
Support will include the development and management of meeting agendas, scheduling of meetings, development and project management of sub committees and creation of reports to stakeholders as needed.
Provide administrative support to the CWO including calendar management, travel, and logistical help.
Develop and manage annual calendar of UW Medicine and UW SoM Well-Being programming.
Operate as the point of contact for UW Medicine Well-Being Survey data utilization and dissemination.
As needed, provide Well-Being Survey data management support leveraging existing data portals including responding to specific data requests and inquiries from the UW Medicine community.
Prepare presentations for UW Medicine leaders with support of the CWO and participate in survey data meetings with UW Medicine leadership.
Support well-being focused special projects as assigned.
