About The Position

The Wedding & Event Coordinator is responsible for planning, organizing, and executing weddings, indoor events, and assisting with golf outings and daily golf operations. This role works closely with clients, vendors, the daily golf operations team, and the General Manager to ensure seamless coordination and a high-quality guest experience. This role supports both daily operations and special events and requires a self-motivated individual who can work independently, communicate effectively, and interact with guests in a professional and courteous manner.

  • Must obtain appropriate manager certifications, including food handler, alcohol service, allergen, and food manager certifications
  • Maintain a neat, clean, and well-groomed appearance at all times in accordance with Stonewolf Golf Club standards
  • Adhere to all dress code guidelines as outlined in the employee manual
  • Represent the club in a professional and positive manner when interacting with guests, clients, and team members
  • Expected 40 hours per week
  • Hours may vary during slower, off-season months
  • Schedule varies based on weddings, golf outings, and events
  • Weekday and weekend availability required
  • Minimum of one weekend shift required
  • Both weekend shifts required if events or outings are scheduled both days
  • Most weddings occur on Fridays and Saturdays
  • Holidays as needed
  • Average shift: 8 hours (events may extend to 10–12 hours)
  • Overtime must be approved by the General Manager
  • The ability to speak English is necessary to converse with our members and guests
  • Proper diction is valued to maintain the ambiance of high-level service to our members
  • The ability to effectively present information and respond to questions from groups, managers, members and the general public is important
  • It is necessary to have the ability to solve practical problems that may arise
  • Our team members must have the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • The Team Member may be required to spend long hours on their feet

Responsibilities

  • Collaborate with clients to understand their vision, preferences, and expectations
  • Plan and coordinate all aspects of weddings and events including timelines, logistics, and vendor coordination
  • Conduct tours and host open houses for prospective clients
  • Manage client communication from initial inquiry through event execution
  • Oversee event setup, execution, and breakdown to ensure a seamless experience
  • Handle issues or last-minute changes with professionalism and efficiency
  • Stay current on wedding and event trends to enhance offerings and client experience
  • Maintain a clean, organized, and professional appearance of all event spaces and clubhouse areas, both indoors and outdoors
  • Ensure all event areas are properly set, reset, and inspected before and after events
  • Monitor cleanliness throughout events, addressing any issues promptly to uphold guest experience standards
  • Coordinate with staff to keep common areas, patios, ceremony spaces, and reception areas in top condition
  • Assist in maintaining overall clubhouse presentation in alignment with Stonewolf’s standards for both golfers and event guests
  • Work closely with the golf operations team to align event schedules with daily tee sheet activity
  • Assist in ensuring a smooth transition between golf play and event functions
  • Communicate effectively with golf staff regarding timing, logistics, and guest flow
  • Participate in learning and training opportunities to support golf operations during slower, non-event seasons
  • Assist the golf shop team with the execution of golf tournaments and outings
  • Support outing logistics including registration, check-in, scoring, and on-course contests
  • Help coordinate player flow, cart staging, and event timing in collaboration with golf staff
  • Provide support with merchandise, scoring systems, and daily golf shop operations as needed
  • Serve as an additional point of contact to ensure a smooth and organized experience for outing participants
  • Step in to assist golf operations during events to maintain a high level of service and efficiency
  • Provide exceptional service to all guests, golfers, and clients
  • Build strong relationships with clients and vendors
  • Represent Stonewolf in a professional, friendly, and engaging manner
  • Assist in monitoring and controlling inventory levels, ordering supplies, and ensuring efficient stock rotation to minimize waste and optimize profitability
  • Train, supervise, and motivate staff members including event staff, golf staff, food and beverage staff, kitchen staff, and support personnel to maintain high levels of service and productivity
  • Support daily operational needs across departments to ensure a seamless guest experience
  • Ensure compliance with health and safety regulations, food hygiene standards, and licensing requirements to maintain a safe and legal operating environment
  • Assist in developing and implementing marketing strategies to attract and retain customers
  • Support promotional events, outings, and advertising initiatives to drive revenue and engagement
