About The Position

Wedding & Event Assistant Part-time, 20-25 hours per week - Nights and weekends Help Create Once-in-a-Lifetime Moments at the Botanical Gardens Love weddings, celebrations, and magical spaces filled with flowers? The Botanical Gardens is looking for an enthusiastic Wedding & Event Assistant to help bring unforgettable moments to life—one event at a time. From “I do” to cocktail parties, proposals, photo shoots, and corporate celebrations, you’ll be part of a passionate events team that creates meaningful experiences rooted in our Wow, Wonder, and Welcome culture.

Requirements

  • High school diploma (or equivalent)
  • At least 1 year of experience in hospitality, weddings, or events
  • Ability to juggle multiple details in a fast-paced environment
  • Strong written and verbal communication skills
  • Comfortable using Microsoft Word, Excel, Outlook, and social media
  • Excited to be part of people’s biggest life moments
  • Positive, reliable, self-motivated, and team-oriented
  • Organized, detail-loving, and proactive
  • Creative problem-solvers with strong interpersonal skills
  • Passionate about healthy, respectful workplace relationships
  • Able to lift up to 50 lbs and stay active throughout event days
  • Comfortable working in all weather conditions, including summer heat

Responsibilities

  • Be the friendly, calm, professional face our clients and guests remember forever
  • Build positive relationships with couples, vendors, caterers, and collaborators
  • Communicate clearly and kindly during rehearsals, drop-offs, and event days
  • Make every interaction feel thoughtful, inclusive, and memorable
  • Help plan and execute weddings, receptions, rehearsals, showers, parties, corporate events, proposals, photo sessions, and more
  • Coordinate events from set up to breakdown (yes, tables and chairs included!)
  • Lead by example to ensure every guest feels welcomed and cared for
  • Collaborate with teammates to create 5-star client experiences and glowing reviews
  • Partner with the Marketing team to help showcase our events
  • Manage event supplies, inventory, and shared calendars
  • Schedule client appointments and support post-event follow-ups like thank-you notes
  • Work across departments to support fundraising and internal events
  • Represent the Botanical Gardens with professionalism, warmth, and positivity
  • Keep everyone informed using shared calendars and organizational software
  • Be flexible—events happen evenings, weekends, and holidays
  • Treat all people with respect, fairness, and inclusivity
  • Support diversity, equity, inclusion, and accessibility efforts
  • Maintain punctuality, professionalism, and a polished appearance
  • Follow organizational policies and support your teammates
  • Jump in to help with special events and additional duties as needed
