About The Position

The Warehouse Administrator is responsible for supporting shipping operations, documentation accuracy, and WMS transaction flow for the warehouse. This role prepares Bills of Lading (BOLs) for outbound shipments using multiple carriers based on shipping instructions, applies freight charges to prepaid orders, and supports daily shipping activities including the UPS shipping line when needed. The Warehouse Administrator monitors urgent (“HOT”) sales orders, releases orders to the warehouse through the WMS, and coordinates expedited and Hot Shot shipments as required. The role also manages export shipment documentation, including photographing export shipments and preparing weekly international pool trucks and export paperwork. As a WMS administrative user, the Warehouse Administrator provides first-level troubleshooting support for common system issues and helps maintain accurate shipping transactions and documentation. This position serves as a key communication link between the warehouse, sales team, customers, and logistics providers to ensure the timely and accurate movement of goods.

Requirements

  • Educational Background: High School Graduate or General Education Degree (GED).
  • Experience: Three to five years related experience.
  • Technical Skills: Proficiency in Microsoft Office (Outlook); Willingness to train and learn the AX ERP system / Warehouse Management System (WMS).
  • Willingness to work a flexible schedule including evenings and weekends.

Responsibilities

  • WMS Transaction Support: Enter and validate shipping and order transactions in the WMS, including releasing orders to the warehouse, assisting with troubleshooting common WMS issues, and ensuring documentation accuracy.
  • Shipping Documentation: Prepare Bills of Lading (BOLs), export paperwork, and other required shipping documents using multiple logistics providers based on shipping instructions.
  • Freight Processing: Apply freight charges to prepaid orders and verify billing accuracy.
  • HOT Order Monitoring: Monitor urgent order requests from Sales, release orders to the warehouse, and coordinate expedited or Hot Shot shipments when required.
  • International Pool Truck Processing: Prepare and process weekly Mexico pool truck documentation and export paperwork according to established procedures.
  • Export Shipment Documentation: Photograph export shipments and maintain required documentation records.
  • UPS Shipping Line Support: Assist with UPS shipping line operations as needed to maintain workflow continuity.
  • Communication & Coordination: Serve as a primary communication point between the warehouse, sales team, customers, finance, and logistics providers to coordinate shipments and resolve issues.
  • Recordkeeping & Reporting: Maintain shipping records, documentation files, and administrative reports in accordance with company procedures.
  • Process Adherence: Follow established warehouse administrative procedures and support continuous improvement of shipping and documentation workflows.
