About The Position

The Visitor Services and Outreach Coordinator ensures a positive and memorable experience for all visitors. This position is responsible for managing visitor interactions and handling inquiries via phone and email. The coordinator also supports events, groups, and meetings by providing necessary information and welcome packets. Additionally, the role involves coordinating with internal teams and assisting with various outreach efforts. The ideal candidate will demonstrate excellent communication and organizational skills, a customer-focused attitude, and a passion for promoting the local area.

Requirements

  • Preferably, a candidate with customer service experience in a job-related field, or an equivalent combination of education, training, and experience that provides the knowledge, skills, and abilities of the position.
  • Valid driver's license required

Responsibilities

  • Manage various visitor and customer service requests and tasks as needed to support the overall mission of enhancing the visitor experience.
  • Support various sales and marketing functions and projects.
  • Oversee the organization's customer service email inbox ([email protected]), ensuring all inquiries receive prompt, high-quality support and are addressed promptly.
  • Answer and direct the incoming calls promptly and courteously.
  • Support the Visit Eau Claire grant program.
  • Maintain an organized inventory of promotional items and coordinate with relevant departments to ensure sufficient stock levels.
  • Fulfill servicing requests for events, groups, meetings, and sporting events by providing visitor welcome bags, setting up visitor information tables, gift baskets, and visitor packets.
  • Maintain up-to-date knowledge of the area’s tourist attractions, events, and services to assist visitors with their inquiries effectively.
  • Coordinate and manage volunteer participation at tourism events, ensuring that volunteers are well-prepared to provide accurate and engaging visitor information, enhancing the overall experience for event attendees.
  • Prepare, coordinate, and deliver prizes and/or welcome bags to travel media, influencers, and giveaway recipients.
  • Ensure the collection and entry of visitor contact information to support marketing efforts in the CRM database.
  • Perform other duties as assigned by the Executive Director
  • Assist other departments as needed.
  • Proven multi-tasking, problem-solving, and organizational skills, which include the ability to exercise initiative and independent judgment.
  • Ability to maintain a high degree of confidentiality.
  • Ability to work under pressure and meet deadlines
