Our person-centered approach focuses on treating the whole individual, while empowering clients with the tools, structure, and support needed to achieve long-term recovery and lasting stability Summary of Position: The Front Desk Administrative Assistant serves as the primary onsite point of contact supporting a Virtual Intensive Outpatient Program (IOP), ensuring smooth coordination between clients and clinical staff while maintaining an organized and professional work environment. Although services are delivered virtually, this role plays a critical part in facilitating daily operations and supporting a seamless client experience by managing front desk operations, coordinating virtual client interactions, scheduling client sessions and program services, and providing administrative support to the clinical team. The position also assists with operational needs by helping maintain an efficient, safe, and organized workspace and ensuring alignment with company standards and best practices.

Requirements

  • Front desk, 1 year experience required.
  • Excellent written and verbal communication skills.
  • Proficiency in the use of office equipment.
  • Ability to multi-task, and to prioritize and execute tasks in a fast-paced environment.
  • Experience with Apple IOS systems.
  • Strong organizational and project management skills.
  • Computer competence (Microsoft Word, Excel).

Nice To Haves

  • Associated degree, preferred but not required.
  • 1-3 years of experience in a similar role (Preferred).
  • Experience working in the mental health field.

Responsibilities

  • Greet clients, visitors, and staff warmly, ensuring a positive first impression.
  • Answer and direct phone calls promptly and professionally.
  • Assist clients with appointment scheduling, rescheduling, and cancellations.
  • Provide information about clinic services and policies.
  • Manage client check-in and check-out processes, including verifying insurance and collecting co-pays.
  • Maintain and update client records accurately in the clinic’s management system.
  • Process and organize paperwork, including intake forms, insurance authorizations, and billing-related documents.
  • Coordinate communication between clients and clinicians, ensuring smooth scheduling and follow-ups.
  • Monitor and maintain a clean and organized reception area.
  • Manage inventory of office supplies and order as needed.
  • Assist with faxing, copying, and scanning documents.
  • Adhere to HIPAA regulations and maintain the confidentiality of all client records and information.
  • Ensure all administrative processes comply with clinic policies and procedures.
  • Other duties as assigned.
