About The Position

The Venue Operations Coordinator will be responsible for planning and coordinating admin, technical and logistical support services to ensure the seamless execution of events. Other responsibilities include, but not limited to:

Requirements

  • Associate degree in a related field or Certified Event Professional certification preferred.
  • Three (3) years of increasingly responsible experience in the areas of event planning, logistics, event coordination, production planning and scheduling, or related experience.
  • Logistics-oriented, hyper-organized, and efficient problem-solver.
  • Superb organization and communication skills (phone, email, written, etc.)
  • The ability to handle stressful situations, remain calm, and problem solving is a must.
  • Outgoing personality with excellent customer service skills.
  • Understanding the importance of Ridgewells brand and its mission is a must.
  • Must possess a strong ability to utilize MS Office products effectively.
  • Ability to work extended hours including nights, weekends and holidays as needed for assigned events is required.

Responsibilities

  • Works closely with the Venue Operations Manager and Assistant Manager to ensure smooth and pristine preparations and execution of any and all events.
  • Ensures the delivery of superior customer service from the beginning to end of the event.
  • Prepares and provides detailed, accurate and timely event specifications to caterers, audio-visual vendors, and meeting facility personnel.
  • Reconciles and approves detailed billings for food and beverage services, and audio-visual vendors.
  • Provides support to the Venue Operations Manager and Assistant Manager.
  • Develops and maintains ongoing business relationships with venue, and facilities personnel, as well as vendors, and audio-visual personnel.
  • Coordinates audio-visual set-up needs and equipment orders for all assigned events.
  • Conducts post-event evaluations and meetings with food and beverage, audio-visual, and facility personnel.
  • Supervises all catering services and requirements and logistics for events to ensure venue guidelines are strictly followed.
  • Liaises sales team and with vendors during the event planning process to ensure everything is in order.
  • Manages all event set-up, tear down and follow-up processes.
  • Conducts final inspections on the day of the event to ensure everything adheres to the client’s standards.
  • Assess an event’s overall success and submit findings.
  • Identifies the client’s requirements and expectations for each event.
  • Performs other duties associated with the position that are reasonably assigned to support the overall needs of the business”.
