About The Position

The Vendor Relations Coordinator is responsible for managing all aspects of company travel logistics, including hotel accommodation, car rentals, and related vendor contracts. This role ensures cost-effective travel solutions, compliance with company policies, and high-quality service delivery for all employees and business units.

Requirements

  • Bachelor’s degree in Business Administration, Hospitality Management, or a related field (or equivalent experience).
  • Minimum 5 years of experience in corporate travel management, vendor relations, or procurement.
  • Strong negotiation and contract management skills.
  • Excellent communication, organizational, and problem-solving abilities.
  • Proficiency with travel management systems and Microsoft Office Suite (Excel, Word, Outlook).

Nice To Haves

  • Knowledge of travel and expense management tools (e.g., Concur, Egencia, SAP Travel) preferred.

Responsibilities

  • Evaluate and manage contracts for all vendors.
  • Conduct regular performance reviews and ensure service-level agreement (SLA) compliance.
  • Coordinate with the finance and procurement teams for contract renewals and budget alignment.
  • Track spending, identify savings opportunities, and generate cost analysis reports.
  • Negotiate corporate rates and contracts with partners.
  • Maintain a database of preferred vendors and ensure consistent quality and value.
  • Oversee booking processes for employee and guest stays, ensuring alignment with policies.
  • Resolve billing or service issues with hotels promptly.
  • Establish and manage relationships with car rental agencies and transportation vendors.
  • Negotiate contracts and monitor compliance with agreed-upon terms and pricing.
  • Support development and enforcement of corporate travel policies and procedures.
  • Provide guidance to employees on approved vendors and booking practices.
  • Monitor compliance and identify areas for improvement.
  • Prepare regular reports on travel spending, vendor performance, and utilization trends.
  • Identify opportunities to optimize travel programs and reduce costs.
