About The Position

About the Position: The University Honors Program at Cal State Fullerton is an academic unit under Student Academic Support. The University Honors Program is dedicated to inclusive excellence and extending the frontiers of knowledge beyond the boundaries of the University, hosting a community of scholars from across Cal State Fullerton who share a love of learning. We are seeking an exceptional individual to join our team as the University Honors Support Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness. Under general supervision of the Associate Vice President for Student Success and Academic Support and the guidance and direction of the Director of the University Honors program, the University Honors Support Coordinator coordinates day to day operations of the University Honors program office and student center. Supports the Director with calendar and student communications and provides front line support, ensuring a welcoming and professional environment. Guides student assistants and coordinates their schedule and time reporting. Supports faculty recruitment and semester appointment process. Supports Student Opinion Questionnaire (SOQ) faculty process. Handles the coding of Honors students and registration permits for Honors course sections and the assigned mentors. Assists with class schedule entry and coordinates arrangements/logistics for events and meetings. Assists with travel, purchasing, tracks supplies, and supports department IT coordination (liaison with central IT, prepares service orders, sets up or updates email accounts and other IT support). Must be able to multi-task and respond to internal and external deadlines. Troubleshoot administrative problems and responds to inquiries related to work area. Under general direction, the University Honors Support Coordinator is responsible for providing general office support to students, faculty, staff, and community members. Plans, initiates, executes, and coordinates projects, activities, and events with accountability for results. Maintain files, processes documents and records, gathers data, and interacts with and solves problems for work unit customers and staff. Use customer service and problem-solving skills to respond to customers via email, telephone, and in person. Use a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments. Coordinates and schedules meetings and events as needed. Addresses a wide range of work unit problems which require interpreting policies and procedures and using ingenuity to put information together in new ways. Coordinates and works with individuals at all levels within the organization. Other duties as assigned.

Requirements

  • High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply a variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
  • A background check (including a criminal records check) must be completed satisfactorily and is required for employment.
  • CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.
  • Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.
