About The Position

Performs complex (journey-level) public health work under the limited supervision of the Vaccine Data & Finance Manager, with considerable latitude for the use of initiative and independent judgment. Work involves coordination, developing, consulting, and implementing on a statewide basis. Provides consultation and technical assistance to Central Office, regional offices, and local health department staff on flu ordering, seasonal flu allocation for TVFC (Texas Vaccines for Children) providers and responds to requests for information from internal and external customers.

Requirements

  • Extensive PC skills including Microsoft Word, Excel, Access, PowerPoint and Outlook.

  • Skill in responding to customer inquiries and handling difficult customers in a tactful manner.
  • Skill in arithmetic, English grammar, and spelling.

  • Ability to communicate processes and procedures clearly and effectively to others.
  • Ability to use independent judgment and to plan, organize, and coordinate work assignments to meet deadlines.

  • Graduation from an accredited four-year College or university required, with major course work in public health, social services, or a related field generally preferred.
  • At least four years of relevant employment experience may be substituted for education.
  • Experience in public health, immunizations, or vaccine-preventable diseases.
  • Experience in customer service.
  • Experience with Microsoft Word, Excel, Access, PowerPoint, SQL and Outlook.

Responsibilities

  • Coordinates TVFC flu vaccine ordering. Activities include pre-book coordination, allocation and ordering activities for annual influenza vaccine, and emergency event vaccine tracking and reporting. Performs daily quality assurance activities, including performing routine imports of provider demographics prior to transmission of flu vaccine orders. Works with program staff to identify and resolve technical and procedural problems. Maintains policy and procedure manuals for flu vaccine ordering. Coordinates and implements special initiatives within the vaccine ordering system.
  • Assists with other vaccine ordering activities. Coordinates with regional and local health departments and central office staff to ensure that vaccine orders are reviewed, approved, and processed in a timely manner while following TVFC policies and procedures. Performs quality assurance activities. Works with vaccine manufacturers, distributors, and the DSHS Central Office Pharmacy to resolve vaccine delivery issues. Works with program staff to identify and resolve technical and procedural problems.
  • Participates in system development and enhancement activities. Participates in system design and testing for the vaccine ordering system, including VAOS, and other Vaccine Data & Finance databases; participates in program planning and evaluation activities; conducts system testing and training; makes recommendations on systems to improve business processes; assists as needed in requirements gathering and documentation.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligation for disaster response and/or recovery of Continuity of Operations (COOP) activation. Such participation may require an alternative shift patter assignment and/or location.
